SECRETARY
DEFINITION
Under direction to perform moderately difficult secretarial and clerical work at the school level or in a district office; and to do related work as assigned. Positions in this class are assigned to perform a wide variety of clerical and secretarial duties in a junior high school, high school, continuation school, adult education school, or at a district office. While this classification is composed of positions with roughly equivalent responsibility, they may differ widely in the kind, scope and depth of functions handled. The incumbent may be the sole clerical person at the school. Individuals learn and become immersed in the technical details of the particular assignment, in order to assist fully with office work and communications. Positions may also serve as the second secretary in a district administrator's office.
ESSENTIAL JOB FUNCTIONS
· Acts as secretary, office aide, and receptionist to an assigned supervisor.
· Types correspondence, memos, reports, handbooks, bulletins, cards, and forms.
· Schedules appointments.
· Receives heavy volume of telephone calls from parents, students, teachers, various district offices, other schools, and the public requesting information, appointments, and actions, leaving messages or instructions, or registering complaints.
· Screens visitors and telephone calls.
· Answers inquiries and provides information to students, the public and other District personnel, utilizing discretion when necessary.
· Composes routine correspondence and reports from oral instructions.
· Posts data and information to cards, forms, programs, files, and budgets.
· Makes arithmetical calculations with speed and accuracy.
· Maintains files, lists, records, and catalogs.
· Assists in enrolling new students.
· Schedules use of equipment, automobiles, and facilities.
· Operates standard office equipment.
OTHER JOB FUNCTIONS
· May collect and receipt incoming monies.
· Supervises other workers as assigned.
· Performs other related duties as may be assigned.
DESIRABLE QUALIFICATIONS
Knowledge of:
English, grammar, spelling, filing, and arithmetic;
Modern office methods, procedures, terms and equipment;
Read, understand, and explain technical school policies and material;
Operate standard office equipment;
Follow oral and written directions;
Establish and maintain effective relationships with students, other district employees and the public;
Read and comprehend handwritten or typed documents, and the display screen of office machines;

Communicate effectively;
Sit for sustained periods of time;
Deal with hostile, emotional, ill or angry persons in an effective manner;
Lift and move light to medium-weight objects such as boxes of books, office supplies, or presentation materials;

Concentrate on current task in spite of distractions in an active, busy environment;
Efficiently and effectively operate office machines, including a computer with keyboard and monitor, for sustained periods of time;
Demonstrate manual dexterity necessary to operate calculator, typewriter, and/or computer keyboard at the required speed and accuracy;
Maintain regular, steady attendance.
Skills:
Typing: 50 words per minute
Experience:
Two years of general clerical experience with the ability to act as receptionist.
Education:
Equivalent to graduation from high school, preferably including or supplemented by courses in typing and office procedures.
Personal Qualities:
Maturity, pleasant and friendly demeanor, and the ability to work under pressure and with frequent interruptions.
