CLASS TITLE: SCHOOL OFFICE ASSISTANT, SECONDARY
BASIC FUNCTION
Under direction of an assigned supervisor, perform varied and responsible clerical support duties in a school office; provide specialized office assistance in the counseling, health, attendance or other guidance office; and prepare and maintain student records.
DISTINGUISHING CHARACTERISTICS
The School Office Assistant, Secondary typically is assigned responsible specialized duties related to functions such as counseling, health or attendance at a school. The School Office Assistant, Elementary provides overall office assistance and performs the duties of the School Office Coordinator I at an elementary school as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Incumbents in the classification may not perform all of these tasks or may perform similar related tasks not listed here.
- Operate a computer and related software and enter data related to student test scores, program changes, grades, attendance and personal data; operate office machines including typewriter, copier and calculator. (E1)
- Perform responsible and specialized clerical duties in a school office; keep calendar for an administrator. (E1)
- Type, duplicate, process and distribute a wide variety of materials including bulletins, memoranda, correspondence, lists, reports, requisitions and other forms. (E1)
- Perform receptionist duties, greeting visitors and providing directions and information. (E2)
- Issue absence slips, passes and admit slips to students. (E3)
- Operate a two-way radio. (E3)
- Provide information to parents, students and the public regarding school and District policies, rules and regulations. (E3)
- Assist in maintaining attendance records and communicate with parents, students, faculty and administrators regarding attendance issues as assigned.
- Count money and maintain financial records.
- Maintain health and immunization records and initiate exclusion procedures as needed.
- Monitor student behavior in the office.
- Order office supplies.
- Prepare cum folders and send for or transmit records to other districts as assigned.
- Provide first aid to ill and injured students and staff as assigned; administer medications according to established policies and procedures.
- Register new students, assuring accuracy and proper completion of required forms as assigned.
- Review class lists and ADA report to assure accuracy as assigned.
- Train and provide work direction to student workers as assigned.
- Perform related duties as assigned.
MINIMUM QUALIFICATIONS:
The requirements listed below are representative of knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
EDUCATION AND EXPERIENCE:
A. Graduation from High School or equivalent.
B. Three (3) years of increasing clerical experience involving public contact of atleast two (2) years in a school office preferred.
Or
Any combination of education, training, and/or experience which demonstrates the ability to perform the essential duties may be substituted for the required experience and/or education.
LICENSES AND OTHER REQUIREMENTS:
- A certificate stating freedom from Tuberculosis.
- A valid California Drivers License preferred.
- Valid First Aid Certification.
- Valid CPR Certification preferred.
KNOWLEDGE OF:
- California Education Codes and District policy.
- Correct English usage, spelling, punctuation, grammar and vocabulary.
- First aid procedures.
- Interpersonal skills including tact, courtesy and patience.
- Operation of business machines including typewriter, a PC and related software, copier and calculator.
