Definition
Under general supervision, to provide centralized reprographics services, provide high volume document processing and printing services including multiple-color products, operate and maintain high-speed production printer and copying/printing equipment. This position provides support in all aspects of the production schedule including interacting with users, setting priorities, tracking progress and resolving schedule conflicts and problems. Routinely operates and maintains advanced and complex reprographics equipment. Coordinate the operations and activities of the mail processing facility. Process incoming and outgoing mail to college faculty, staff and students; and to perform related duties as assigned.

Essential Duties
• Reviews duplicating orders arriving by mail, phone and email and estimates completion time considering size, complexity and competing projects: produce jobs according to specifications, using professional judgment and reorganizing schedule as needed to meet deadlines and priority changes.
• Receive jobs electronically or manually and make print ready. Screen, review and verify printing requests and prepare for print using appropriate software, including reformatting if necessary. Maintain original hardcopy and electronic master files and follow procedures regarding job tracking system.
• Set up, operate, maintain and perform minor repair on a full range of offset pre-press/press, high-speed production printer and copying/printing equipment as well as bindery/finishing equipment as needed.
• Monitor equipment performance; recommend equipment updates, perform daily, weekly and monthly maintenance and monitor repairs on departmental equipment; place calls for equipment repair and service and work with vendors.
• Serve as a technical resource for co-workers and users regarding printing issues, departmental services, job requirements and procedures. Assist staff and faculty in the operation of self-service copying and related services.
• Participate in the development and implementation of department goals, objectives, policies and procedures. Make recommendations for business process improvements, such as establishing standards for submitting orders.
• Prepares course materials to be sold in campus bookstore, ensuring compliance with copyright procedures; completes and records information and prepares purchase orders for billing.
• Ensures the security of work produced such as by wrapping confidential and thesis materials, and ensuring the proper persons pick up completed work.
• Operate a computer workstation using a variety of applications such as electronic mail, Internet browsers, word processing, spreadsheet, database management software and web applications.
• Drives a vehicle to deliver large orders to campus locations.
• Maintain accurate inventory of paper, supplies and materials used, establish proper inventory control and levels and conduct periodic physical inventories. Request for supplies as appropriate.
• Support mail services by providing assistance with receiving, sorting, and distributing incoming mail to campus locations. Backup support for mail services delivery by driving safely to all District locations.
• Accept postal deliveries including special delivery, insured mail, registered mail, special handling including flats, parcels, books and films; sort and distribute postal deliveries and interoffice mail in a timely manner; sort, log and store parcels.
• Operate equipment necessary to prepare materials for mailing including folding, inserting, labeling and metering equipment; operate digital and electronic mail processing.
• Determine appropriate methods of mailing and distributing materials; Weigh, meter and determine appropriate postage for outgoing mail.
• Know and comply with all safety requirements related to area of assignment. This includes properly mixing, handling, storing and disposing of hazardous chemicals and chemical solutions used in the offset printing processes, cleaning and maintaining of equipment. Keep hazardous chemicals usage and disposal records.
• Reviews all materials to ensure compliance with copyright rules
• Perform other related duties as assigned.
Minimum Qualifications, Education, and Experience
Knowledge of:
• United States Postal Services regulations, policies, procedures and guidelines
• Mail room procedures and policies.
• Operation of mail processing equipment including digital addressing and sorting equipment.
• Qualities and uses of various types of paper stock and inks.
• Function, operation and maintenance of duplicating and mailing equipment.
• Operation of a computer, applicable software and data entry techniques.
• Single and multi-color offset press and pre-press equipment used by the department as well as materials used in production such as ink, paper and chemicals.
• Principles and practices of networked production printing.
• Copy, binding, and ancillary equipment used for making copies and finishing/biding completed materials.
• Safety practices and requirements including handling of hazardous chemicals.
Skill in:
• Providing excellent customer service including negotiating customer requests; resolving conflicting deadlines; and working effectively with persons of diverse backgrounds.
• Operating reprographics equipment including copiers and machines used for collating, folding, binding, trimming, stapling and print production processes.
• Basic math for calculating orders for materials based on size and complexity of projects.
• Referring to and reading operating manuals to learn
Other Requirements:
Must possess a valid California driver's license and have a satisfactory driving record.
ILLUSTRATIVE EDUCATION AND EXPERIENCE: A typical way to obtain the above knowledge and skill is a combination of education and experience equivalent to:
Two years of experience in a busy, high volume reprographics center. Formal or informal training in office procedures, record keeping and basic business math.
PHYSICAL CHARACTERISTICS: The physical abilities involved in the performance of essential duties are:
Sight to view materials, read text and computer screens, and drive a vehicle; color vision to select and match colored paper; hearing and speech to communicate with customers, clarify orders, explain processes and troubleshoot equipment problems; smell to detect toxic fumes, overheating equipment, and fire danger; manual dexterity to operate machines and handle materials; lifting up to 50 pounds to store and deliver supplies and materials; mobility and flexibility to operate and maintain equipment and to move among counter and equipment and deliver orders; sitting to review work and materials, operate computer and complete paperwork; working in exposure to chemicals, fumes and unpleasant odors, some of which are toxic; noise and safety hazards of equipment. This work is performed indoors in the college's reprographics center and outdoors delivering orders by vehicle.
