SUMMARY AND DESCRIPTION OF BASIC FUNCTIONS AND RESPONSIBILITIES This position directly supports the District/School Administrative Office. Under the direction of the Superintendent and Principal, the Confidential School Secretary will perform a variety of routine clerical, secretarial and receptionist tasks which includes the willingness and ability to work under pressure, meet deadlines, and be reliable in handling tasks and information of a highly confidential nature. ESSENTIAL DUTIES - Establish a cooperative and positive working relationship with the staff, students and public - Maintain office security ensuring access granted on campus to appropriate personnel and visitors - Greet visitors, answer phone calls and inquiries from the public, staff and parents - Access the District and State student information systems (Aeries/CALPADS)(California Longitudinal Pupil Achievement Data Systems), monitors, verifies and processes student attendance and enrollment - Generates a variety of documents and reports related to student information; including but limited to: initiating queries, developing spreadsheets and ensuring accuracy of information - Responsible for maintaining student cumulative records (CUMS) and requesting fi les from previous schools as new students enroll - Assist the Superintendent in the preparation of materials for School Board meetings including but not limited to Agendas and Minutes - Understands and uses California law to track and maintain information concerning custody, Child Protective Services and other agency rights in regards to students and student records - Perform related duties as assigned by the Superintendent/Principal WORK YEAR - 245 days year - 12 month employee - 15 paid holidays - 10 days paid vacation days
Requirements / Qualifications
PREFERED KNOWLEDGE OF - General student attendance and enrollment policies, procedures, terminology and attendance accounting methods - State Reporting for California Basic Education Data Program (CBEDS) , National School Lunch Program (NSLP), Principal Apportionment Data Collection (PADC) and (CALPADS) ABILITY TO - Maintain confidentiality of privileged information - Organize tasks and set priorities to meet deadlines - Able to lift and move up to twenty five (25) lbs - Assist in First Aid needs to students when needed EDUCATION/EXPERIENCE - Preferred BA degree in Business, Communications or equivalent to the completion of an Associate's Degree - Secretarial work preferred, including experience in a school district offi ce - Fluent in Spanish required
