- Be able to juggle multiple projects with superb accuracy
- Deliver exceptional service both over the phone and in person to internal departments, families, and alumni
- Have a strong sense of urgency
- Maintain composure in high stress situations
- Have excellent problem-solving skills
- Maintain the highest standards of discretion and confidentiality, and bring knowledge and ability in the use of applicable technologies.
- A writer with excellent attention to detail
- A bachelor’s degree is preferred
- A practicing Catholic
- Experience working in Catholic education is preferred
Responsibilities: The Executive Assistant to the Principal will have primary responsibility to assist the principal with the following:
- Direct support to the principal, including attendance at all administrative meetings, taking and publishing minutes.
- Answers all phone calls and e-mails on behalf of the principal when needed.
- Maintain daily calendar of appointments.
- Yearly updates to the administrative and employee directory, faculty and staff birthday list, and distribute to everyone.
- Provide support for the the principal/ teacher reception.
- Send invitation to the National Merit Scholarship Students to be recognized. Enter their names in the Spring Awards program.
- Order and pick up all gifts for faculty and staff retiring.
- Tracking students’ GPA through the registrar and keeping track of students for first and second honors for each semester and recording them on a spread sheet. Honor Roll (create and post list for students to check on the Website, and create honor roll certificates). Order special blank certificates to be made for students on first honor roll. Order plaques and/or trophies to be given out at the Senior Luncheon.
- Responsible for all aspects of Spring Awards Ceremony.
- Host Parent Association Reception for approximately 60 parents. Create and send invitation, Decorate the Library, order food/beverages, flowers, and gifts.
- Order flowers for school functions.
- Order flowers for sick, or deceased family members, babies etc.
- Mail out letters to parents on behalf of the principal.
- Copy confidential academic/personnel files for the principal when needed.
- Meet with the principal daily to discuss the calendar of events for the school year and daily, weekly, and monthly projects.
- Provide support for the National Honor Society (NHS) Ceremony, including producing NHS Certificates.
- Be open to an evolving job description.

Physical Requirements: While performing the duties of this job the employee is sometimes required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within both schools, as well as maneuver throughout the school facilities to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds.
