The Registrar/Educational Technology Coordinator collaborates, implements, and maintains systems to ensure the school maintains accurate student records while also providing educational technology team support. This team member oversees student enrollment, academic course schedules, grade reporting, and the management of student records. This role will also act as the first point of contact for the Technology office.

Job Title: Registrar

Overview: The Registrar supports the school’s administration in ensuring accurate student records are maintained.  This individual performs specialized clerical tasks related to the registration of students and maintenance of student records and files.  The Registrar is a self-directed professional ready to identify and collaborate on improvements in process and efficiency, as well as internal and external communication.

Responsibilities: The Registrar will have primary responsibility to assist with the following:

  • Coordinate enrollment of new students and obtain and maintain student records such as grades, transcripts, test scores, immunization records, cumulative folders and all general student data; provide information to counselors as requested
  • Update requesting students in NCAA database
  • Assist faculty with Gradebook questions
  • Maintain and update parent/student information in school database
  • Assist with pre-enrollment schedules and master schedule
  • Update course selections, teacher changes and room numbers
  • Maintain current class lists for enrollment verification
  • Coordinate student withdrawal procedures to include initiating withdrawal forms, notifying all teachers of said student, recording grades at time of withdrawal
  • Communicate with other schools or outside agencies regarding student records
  • Process and verify all diploma, transcript and attendance verification requests
  • Process information requested by Armed Services, law enforcements agencies, car insurance for good student driver, subpoenas
  • Coordinate school registration, record school grades, verify all grades are entered on time
  • Prepare and process a variety of reports via queries in Aeries for assigned school activities to include, but not limited to:

ü  School liturgies

ü  LIGHT groups

ü  Ineligibility list for principal

ü  Honor Roll

  • Process senior transcripts for college entrance and scholarships
  • Coordinate high school summer school registration, input summer school grades
  • Rollover into new school year – thru Aeries support and Tech support
  • Perform various general secretarial and clerical duties, assisting office staff as needed (i.e. answer phones for receptionist, report requests, generating mailing labels) and other duties as assigned.

Manages the grade reporting process. Serves as campus expert in PowerSchool. Maintains and updates parent/legal guardian and student information in the school database, including custodial documentation and education rights. Collaborates with the academic team, including admissions, in the development and input of courses for the master schedule. Updates course selections, teacher changes, and room numbers. Maintains current class lists for enrollment verification. Maintains and updates bell schedule and calendar in PowerSchool. Coordinates student withdrawal procedures to include initiating withdrawal forms, notifying all teachers of said student, recording grades at the time of withdrawal. Communicates with other schools or outside agencies regarding student academic records. Process and verify all diploma, official transcript, and attendance verification requests. Oversees the process and verifies all information requested by the Armed Services, law enforcement agencies, car insurance for good student drivers, subpoenas, etc. Prepares and processes a variety of reports via queries in PowerSchool for assigned school activities or other CCHS employees. Uploads transcripts to the NCAA Eligibility Center four times during the school year. Collaborates with the summer school principal on summer school registration, manages the summer school grade reporting process, and updates summer school course selections, teacher changes, and room numbers. Rollover into the new school year – through PowerSchool support and Tech support. Prepares and processes Work Permits. Creates and manages student, staff, and parent/legal guardian accounts in PowerSchool to abide by the guidelines stated in the employee handbook, and to be consistent in applying the policies of the school as stated in the student handbook and curriculum guide. Obtains and sends grade data reports after each semester, scans and sends transfer transcripts upon student enrollment for Honest Game. Support honor society moderators with GPA verification. Assists faculty members with report building as needed. Update SIS with testing data, PSAT, ACT, MDTP, and Honor Roll. Education Technology Coordinator Responsibilities: Provides efficient and positive customer service to all members of the CCHS community. Serves as the point of contact for the CCHS Tech Chat and supports the CCHS Tech team. Provide tech support for the CCHS community by phone, email, or in person. Support iPad Rollout and iPad swaps annually. Supervise student tech aides, including their attendance. Coordinate the assignment of technology help requests. Supports Tech Team with other duties as assigned. Physical Requirements: While performing the duties of this job the employee is sometimes required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within both schools, as well as maneuver throughout the school facilities to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds.
