Qualifications

Knowledge of:

Responsibilities

  • Participates in staff development training and activities.

  • Welcomes faculty, staff, students, and parents with a positive attitude and assists with problem-solving

  • Sets up routines and systems in the office for orderliness, including systems for materials received, lost and found, resources, waiting procedures, copy machine procedures, Chromebook procedures

  • Assists with organizing and maintaining areas assigned in and outside of the office- patio area, entryways, etc., including picking up trash, organizing materials, cleaning tables, and making the office and front hallway organized, presentable, and tidy at all times

  • Creates a positive school culture by greeting others, maintaining a positive attitude, finding effective solutions, and collaborating joyfully with others to ensure excellence in all areas of school programming

  • Ensure professional tone and language is used at all times, shut down gossip immediately and do not engage with others who participate in these behaviors

  •  Ensure faculty, staff, and students are not loitering in the office

  • Develop and execute checklists with principals and facilities manager for all special events or on campus activities, including beautification days, collection of materials, meet and greets, informational and researcher tours etc.

  • Assist substitute staff members with materials, attendance, campus map, restrooms

  • Learn and teach office team software systems to support business

  • Develop and execute procedures for student enrollment and exit of the school

  • Order materials and distribute them including signs, marketing materials, graduation materials, and merchandise for school spirit

  • Follows the procedures outlined in the field trip checklist

  • Under general supervision, performs general clerical duties in support of the Charter School

  • Record and report attendance to Compliance Manager

  • Ensure ISP procedures are followed and clear absences

  • Prepare reports and data required by the school administration

  • Screens and directs telephone calls

  • Visitors: Maintain the sign-in logs, visitor badges, and volunteer training binders

  • Provide supervision and direction to other office staff as they become available;

  • Serve as the receptionist to the office;

  • Open and routes all incoming correspondence and mail;

  • Provide assistance and backup to the Central office team and onsite administrative team

  • Schedule meetings;

  • Provide students with assistance as related to the front office;

  • Type and distributes correspondence, notifications, meeting announcements, and materials; including the WISH Wise Weekly, calendar notifications, and timely updates

  • Establish and maintains file system including student records; and

  • Ensures keys are maintained with at all times, keys may never be left on campus in a desk or cabinet

  • Perform related duties as assigned and provide coverage for team member

  • Maintain student medications and ensure first aid supplies are fully stocked.

  • Light school nurse duties (example: Ice packs, bandaids, assist in toilet accident changing and diabetic testing)

  • Ordering: order all supplies for campus and create invoices and PO’s accordingly.
