SANTA ANA UNIFIED SCHOOL DISTRICT

DEPARTMENT SPECIALIST

BASIC FUNCTION:

Under the direction of an assigned administrator, perform responsible administrative and clerical functions in support of a major single functional activity within the District.

DISTINGUISHING CHARACTERISTICS:

Incumbents in this class work with considerable freedom to act on a major single functional activity. Incumbents accept responsibility for an administrative and clerical part of a program and may direct an activity at a site separated from the assigned superior. The class does not include secretarial positions in that incumbents do not perform normal secretarial and clerical functions in support of an administrator; rather, incumbents direct an important administrative part of a program with little direction and may supervise or provide work direction and guidance to other clerical personnel. There is no shorthand requirement and no responsibility for dealing with the superior's calendar, meeting schedules nor acting as a receptionist.

REPRESENTATIVE DUTIES:

Coordinate an instructional or operational activity on behalf of the District; provide work direction and guidance to accomplish clerical and administrative tasks related to either specialty within a District Office function. E

Follow District policies and procedures with respect to the assigned program; prepare forms and control paper flow to assure proper communication and coordination of assigned activities. E

Maintain files and records with respect to assigned programs; perform special research projects as requested; prepare reports on functional activities periodically. E

Compose and prepare communications and distribute to other District departments regarding the assigned program. E

Assist in the preparation of the budget for the assigned program; monitor assigned accounts to ensure availability of funds. E


Coordinate the activities of the program with outside agencies and representatives. E

Order supplies and materials necessary to perform the activities of the program. E


Conduct or participate in meetings with respect to policies and practices or developments within the assigned function. E

Maintain close contact with other school and District departments to assure proper communications of program policies and procedures. E

Assemble and summarize information and data from schools and other districts; prepare special reports as directed; type correspondence as necessary to communicate program matters. E

Respond to telephone inquiries from community, students, parents, administrators and other employees regarding program activities, policies and practices. E

Perform related duties as assigned.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF:
Technical aspects of field of specialty.
Applicable sections of State Education Code.
School District organization, operations and objectives.
Oral and written communication skills.
Principles and practices of administration, supervision and training.
Modern office practices, procedures and equipment.
Record_keeping techniques.

Type at 55 words per minute.

EDUCATION AND EXPERIENCE:

Any combination equivalent to graduation from high schools and some additional course work in secretarial or clerical subjects and four years increasingly responsible clerical, secretarial or administrative experience, including at least two years experience in the field of specialty.

LICENSES AND OTHER REQUIREMENTS:

Valid California driver's license.
