A. General Description of Position Goals Under general supervision to maintain the permanent school records of students; to evaluate and record semester hours of credits and grades of incoming students; and other related work as required.

Requirements / Qualifications

Essential Job Duties: a. Assists and maintains required records and supporting documentation pertaining to the development of master schedules, grade reporting and other student recordkeeping as required utilizing current computer technology. b. Prepares and processes reports as required. c. Assists administrators, counselors, students and other office staff for the purpose of providing support. d. Provides data updates and revisions as required. e. Provides services pertaining to grade reporting as required. f. Performs a variety of clerical duties and responsibilities as required. g. Processes materials and documents (e.g. transcripts, CUMS, college and social service forms, diplomas, student withdrawals, grade information, etc.) for the purpose of disseminating information to appropriate parties; ensuring availability and accuracy of required information and compliance with legal requirements. h. Prepares documents and forms (e.g. CBEDS, transfer grade reports, legal documents, etc.) for the purpose of ensuring compliance with district requirements and disseminating to appropriate parties. i. Maintain confidentiality of sensitive and privileged information. j. Maintain automated student records; generate a variety of computerized lists and reports related to student information; submit information and data required for State reporting according to established procedures and timelines. k. Contact other schools to request transcripts and student information; review established guidelines for evaluating incoming student transcripts and ensure conformance with District grading, curriculum and course credit systems. l. Respond to inquiries from students, parents, staff, schools, alumni and various outside agencies concerning student information; provide official or unofficial transcripts and information related to student grades, credits, graduation status and related data; prepare transcripts for mailing as assigned.

Education and Experience Required: • Education: High school diploma or equivalent. • Experience: Three years’ of clerical and record keeping experience. Licenses, Certifications, Bonding, and/or Testing: • TB Test Clearance • Criminal Justice Fingerprint Clearance • Pass District Assessment • Valid California Driver License All District employees must be fully vaccinated against COVID-19 as a condition of employment. Successful applicants for this position will be required to submit proof of vaccination against COVID-19 or request an exemption for qualifying medical or religious reasons during the onboarding process.
