THE POSITION

 

Under general supervision, performs any of a variety of moderately complex and regular clerical duties, such as record keeping, record checking, typing and filing duties which follow particular routines in a school office; and performs related work as required.

 

RESPONSIBLE TO:            Principal

 

DISTINGUISHING CHARACTERISTICS

 

Positions in this class receive general supervision from the Principal or designee.  Incumbents work within a framework of established procedures and are expected to perform a wide variety of typing and general clerical duties with only occasional instruction or assistance and with relative independence.  No supervision is exercised over other positions.  The duties listed below are typical for positions in the class collectively but no one position will necessarily include all the duties.

 

EXAMPLES OF DUTIES

 

The duties listed are typical, but not exclusive:

 

  • Compiles and prepares attendance accounting information, data and reports accurately.
  • Performs a variety of clerical work of moderate complexity, including typing, proofreading, filing, checking and recording information on records.
  • Posts information to forms, accounts and records and maintain cross-reference files.
  • Maintains student database system regarding absences and enrollment
  • Prepares and issues admit and tardy slips, hall passes and early dismissal permits to students.
  • Obtains verification of student absences.
  • Posts and updates attendance records in the computer terminal.
  • Searches records and files for readily identified information.
  • Reports student attendance problems to appropriate staff.
  • Greets visitors, answers the telephone and provides information relative to attendance procedures or services.
  • Interacts with parents to convey and report student attendance.
  • Operates a variety of office machines including copier, typewriter, computer and computer terminal.
  • Participates in district inservice programs.

 

QUALIFICATIONS GUIDE

 

Knowledge of:

  • Correct English usage, spelling, grammar, punctuation and math.
  • Modern office methods, procedures and equipment.
  • Basic record keeping methods and techniques.

 

Ability to:

  • Perform a variety of basic attendance accounting work with accuracy and speed.
  • Learn and apply District rules, regulations and policies.
  • Learn to operate standard office equipment.
  • Make arithmetical calculations with accuracy. 
  • Receive and give information over the telephone or in person in a courteous manner.
  • Work efficiently with frequent interruptions.
  • Understand and carry out oral and written instructions.
  • Maintain cooperative working relationships with those contacted in the course of work.
  • Learn and follow office routines.

 

TRAINING AND EXPERIENCE

WORKING CONDITIONS:

 

Environment:

  • Office environment, subject to constant interruptions and noise.
  • Work station open to public.

 

Physical Abilities:

  • Dexterity of hands and fingers to operate computer and office equipment.
  • Sitting or standing for extended periods of time.
  • Walking to various locations within the school or related space.
  • Kneeling and bending.
  • Reaching horizontally and overhead to retrieve, maintain and store supplies, files and records.
  • Lifting and carrying objects weighing up to 25 pounds.
  • Hearing and speaking to exchange information in person and on the phone.

 

Hazards:

  • Incumbents may be exposed to contact with angry or dissatisfied individuals.
