Job Summary
The middle and high school registrar participates in all administrative aspects related to program activity for students of The Preuss School. Using Aeries Student Information System, enroll new students, obtain and maintain a variety of student records such as grades, transcripts, immunization records, cumulative folders and all general student data. Provide comprehensive advice regarding policies and procedures with the ability to apply discretion and confidentiality to a wide variety of potentially sensitive cases, ensuring privacy of student records in compliance with federal and state law. ~Analyzes a variety of student record factors and applies working knowledge of federal, state, University, and outside agency laws, regulations, and policies to determine student record outcomes. ~Accurately calculates and reports student academic and assessment data, prepare transcripts, report enrollment, programmatic and demographic changes. Query, track, and certify a variety of longitudinal student achievement data. ~Perform registrar core functions such as classroom and course scheduling, degree audits, transcript activities, residency, grading etc. ~Provides individual advising on non-routine, sensitive student record issues. ~Coordinates with campus departments, other UC campuses, and external agencies to implement and evaluate student-focused activities, programs, and services. ~Ensures the privacy of student records with respect to relevant Federal (FERPA), state and UC regulations. Creates, submits, and certifies student data collections. ~Advises departments on existing student record procedures, resources, and options available. Work with teachers and staff, preparing presentations or information packets as needed, to submit grades and other critical information accurately and on time. Provide assistance to integrate and transition elementary students to middle school, middle school into high school, and high school to University.
Requirements / Qualifications
Bachelor's degree in related area and / or equivalent experience / training. Thorough knowledge of policies, regulations, and practices with student records services. Working knowledge of a Registrar's functions and objectives, their interrelationships, and their relationship to functions of other campus administrative units, including privacy rights of students and access to student information. Thorough knowledge of advising and counseling techniques. Strong problem identification, critical thinking, and problem-solving skills; judgment and decision-making ability. Ability to assess processes and implement improvements. Ability to work with people from diverse cultures. Utilizes excellent constituent service skills with all interactions. Ability to counsel, advise, educate staff and administration, make referrals for students and staff over a wide range of subjects, with good communication skills while utilizing professionalism and confidentiality. In cases of dealing with students in crisis or with sensitive financial or family issues, able to counsel and handle difficult situations with sensitivity and responsiveness to student needs and knowing when to make appropriate referrals if needed. Demonstrated ability to handle multiple assignments and tasks; ability to set and work with changing priorities. Ability to work with frequent interruptions.
