Ideal Candidate Statement
Ohlone College is seeking an individual who will be excited to serve as the first point of contact for visitors to the Newark Center. The Newark Center serves a diverse community in an environmentally friendly building. We are looking for someone that can work independently to support students, faculty, staff, and visitors. The ideal candidate will have strong organizational skills and be able to work with others to gather and communicate information important for student success.

Position Description
Under direction, perform a wide variety of duties in support of a full-service educational center, the Newark Center for Health, Sciences, and Technology (NCHST). Support the NCHST with a broad level of responsibility, including serving as a liaison between the NCHST and various District employees as well as members of the community. Assignment will also involve coordinating and implementing ongoing academic, building operations, and other activities with minimal direction. Under general supervision, support supervisor in routine administrative functions.

Duties and Responsibilities

• Prepare, monitor, and report on multiple budgets; prepare purchase requisitions; reconcile the proper receiving and payment of items/services requested; follow-up on late shipments and service performances and resolve invoice/payment discrepancies with contractors and accounting personnel for NCHST;
• Operate a networked computer, utilizing word processing, spreadsheet, database, presentation, project management, and related software applications;
• Assist with the preparation of specifications and contract documents and budget reports related to the NCHST;
• Serve as the first point of contact for visitors to the NCHST;
• Coordinate between NCHST and staff, facilities, campus police, and other parties related to facility projects;
• Assist with various tasks related to events at the NCHST;
• Be a liaison between various departments on assigned administrative matters including, but not limited to, representing the NCHST on various committees and emergency response team;
• Direct the centralized administrative and business functions pertaining to NCHST including, but not limited to, office procedures, analysis activities, personnel actions, monitoring budgets, assisting with NCHST mailroom, and NCHST room scheduling;
• Recommend improvements of procedures and coordination of departmental and NCHST functions; prepare and update operating and procedures manuals;
• Demonstrate sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of the Colleges' students, faculty, staff, and community.
• Effectively engage and support historically disproportionately impacted groups by addressing issues of equity and improving culturally responsive service-oriented practices.
• File reports with various agencies, as directed;
• Perform clerical work and administrative duties for supervisor as needed;
• Perform other related duties as assigned.

Minimum Qualifications
Any combination equivalent to a bachelor's degree and three years of increasingly responsible duties in positions such as administrative assistant, office manager, or similar.
AND
Must have evidence of responsiveness to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, as these factors relate to the need for equity-minded practices.

Physical Demands
This position requires physical abilities needed to work in a standard office setting, including but not limited to: standing and/or sitting for prolonged periods; occasional stooping, bending, kneeling, and twisting; occasional lifting, carrying, pushing and/or pulling light and moderate amounts of weight; operating office equipment which may require repeated fine motor skills (e.g.: keyboard use); and the ability to communicate in written and verbal forms. The position requires vision and hearing in normal ranges (with or without correction) sufficient to operate any assigned equipment and the ability to clearly communicate with others in written and verbal forms.
