Description

To provide basic clerical support for an assigned department or division; to maintain various files and records; and to perform a variety of tasks relative to assigned area of responsibility.

 

DISTINGUISHING CHARACTERISTICS

This is the entry level class within the Clerical series. Incumbents perform general and routine clerical duties within a framework of clearly defined instructions or established office procedures. This class is distinguished from other classes in the series, Administrative Assistant I, II, and III, by the complexity and difficulty of tasks assigned. 

 

SUPERVISION RECEIVED AND EXERCISED

• Receives general supervision from assigned supervisory staff. May oversee student workers.

 

Responsibilities and Duties

• Perform a wide variety of general clerical work including the maintenance of accurate and detailed logs and records; verify the accuracy of information received; research and correct discrepancies; record information.

• Act as a receptionist; answer the telephone and assist students and the public, providing information regarding departmental and District policies, procedures, programs, as required.

• Schedule appointments relative to assigned area of responsibility; refer students to the appropriate personnel and resources.

• Enter information and retrieve information from computers; perform routine data entry. 

• Provide applicable forms to students and the public as needed; apply departmental policies and procedures to determine completeness of applications, forms, records and reports; refer student to necessary services.

• Type a wide variety of materials from rough draft; distribute as appropriate. Review documents for accuracy and completeness.

• Compile information and data reports; maintain a variety of records; check and tabulate data.

• Compose emails, flyers, and information distributed to students, staff and the public.

• Order, receive and organize office materials and supplies; pick up and deliver materials from various offices and departments as required.

• Distribute incoming and outgoing mail.

• Distribute and respond to emails, providing information to students, faculty and the public.

• Perform related duties and responsibilities as required.

 

Qualifications

Knowledge of:

• Principles and practices of filing and record keeping

• Office procedures, methods, machines and equipment including computers, scanners, copiers, and fax machine

• Proper language usage, spelling, grammar and punctuation.

• Principles of business letter writing and basic report preparation.

• Basic principles of accounting.

• Basic MS Office software applications.

 

Ability to:

• Correctly interpret and apply the policies and procedures of the function to which assigned.

• Learn to prepare a variety of correspondence and documentation.

• Accurately keyboard at a satisfactory rate.

• Operate standard office machines and equipment.

• Maintain a variety of physical and electronic files and records.

• Organize and prioritize tasks.

• Respond to requests and inquiries from the general public.

• Understand and follow oral and written instructions.

• Communicate clearly and concisely, both orally and in writing.

• Establish and maintain effective working relationships

• Prepare a variety of correspondence and documentation.

• Sensitivity to and understanding of, the diverse academic, socioeconomic, cultural, linguistic, ethnic backgrounds and disabilities of community college students and staff.

 

Education and Experience Requirements:

Education:

• Completion of the twelfth grade or the equivalent.

 

Experience:

• Two (2) years of clerical support experience.
