DEFINITION:

Performs and coordinates varied and responsible clerical and secretarial work under direction of the School Administrative Manager/Principal. Serves as receptionist and assists the school secretary in relieving the School Administrative Manager/Principal of clerical, secretarial and routine administrative details. 


SUPERVISION RECEIVED AND EXERCISED: 

Receives general supervision from the School Administrative Manager; receives general instruction from the school secretary regarding daily duties. 


EXAMPLES OF DUTIES: 

Duties may include, but are not limited to the following: 

Performs clerical and secretarial duties. 

Performs as receptionist in the school office/handling telephone and face to face contacts from the public.

Provides information to teachers, students and the public on school/district policies and procedures. 

Receives, relays, and handles material of a confidential nature. 

Dealing, as needed, with medical needs of ill or injured students; informs parents. 

Assists school secretary with recording and verifying school personnel/substitute classified timecards. 

Maintains official record of students' attendance. Deals with students' tardiness, and absence(s). 

Initiates and tracks the SARB process.

Calling parents on student absences.       

Handles new enrollments and requests/receives cumulative records.

Keep up-to-date files and enrollment figures through perpetual enrollment and board reports.

Receives, opens, collects, delivers, and routes mail.  

Assists with ensuring there is adequate coverage with substitutes at the site.

Collects money and maintains related records.

Requisitioning supplies.    

Assembles and mails various notices to parents.

Documents Chromebook distribution and collection.

Administers medications pursuant to doctor's orders, provides minor medical procedures including, but not limited to, bandages, temperature, check blood sugar, ice packs, and splints. 

Supervises students as needed.

Submit maintenance requests.

Provides guidance to substitutes as needed.

Support District priorities for a safe and clean campus. 

Performs related duties as assigned. 








EXPERIENCE, QUALIFICATIONS and REQUIREMENTS:

Experience:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: 

Secretarial and/or clerical experience 


Knowledge of: 

Basic record keeping

English usage, spelling, grammar and punctuation

Modern office practices, procedures, methods and equipment, including PC Word.

Student information systems

Principles of basic mathematics. 


Ability to: 

Perform responsible clerical work with accuracy and speed. 

Perform mathematics calculations with accuracy and speed. 

Compose routine letters and memos. 

Understand and carry out oral and written directions. 

Work effectively in the absence of supervision.

Communicate effectively, both orally and in writing. 

Establish and maintain cooperative working relationships with those contacted in the course of work.


Minimum Requirements

Passage of district approved tests. 

Possess an appropriate valid California Driver's License. 

Operate district-owned vehicles in accordance with district insurance expectations 

Successfully complete an oral interview 

Equivalent to the completion of the twelfth grade.

Ability to type accurately at 40 w.p.m.

Driver’s License, a good driving record by providing a clear and current DMV Driver License Information printout and the ability to maintain insurability under the District’s vehicle insurance policy, typing certificate with-in the past 6 months at 40 net wpm or better (on-line certificates not accepted), successfully complete an oral interview. All candidates will be notified by e-mail throughout the hiring process. COVID-19 Vaccination- In order to best protect students and staff as California starts the school year fully in-person, the California Department of Public Health (CDPH) issued a new public health order on August 11, 2021 requiring all school employees to either show full proof of vaccination or be tested at least once per week. The new policy for school employees, which includes, classified, certificated, management, substitutes, exempt employees, walk-on coaches, and all volunteers, took effect August 12, 2021. Schools must be in full compliance by October 15, 2021. All schools identified in this order must verify vaccine status of all workers and volunteers. Schools must have a plan in place for tracking verified worker and volunteer vaccination status. Records of vaccination verification must be made available, upon request, to the local health jurisdiction for purposes of case investigation.
