JOB SUMMARY

Under direct supervision, serves as Human Resources Clerk to the Human Resources Department.

 

QUALIFICATIONS

a.         Required:

             1.        Graduation from high school or its equivalent.

             2.        Additional training in secretarial or business skills.

             3.        Two years of responsible clerical or secretarial work in a Human Resources or Business setting.

             4.        Knowledge of current office practices and procedures, including proper telephone techniques, spelling, punctuation and grammatical usage.

             5.        Ability to keyboard at a speed of 55 words per minute; operate general office machines such as calculator, photocopier, fax, computer, email; organize and execute work effectively and efficiently; prepare and compose letters, memoranda, and reports; carry out assigned work with minimum of supervision; read, understand and interpret rules and written standards; perform basic mathematical calculations; establish and maintain cooperative relationships; act calmly and sensibly in stressful situations.

            6.         Valid California driver license.

            7.         Skilled in Microsoft Office, including Word and Excel.

 

b.         Desirable:

             1.        Ability to communicate in Spanish.

             2.        Knowledge of word processing, database, online scheduling, spread sheet and telecommunications using computers, notebooks, and tablets

             3.        Prior school office, school district experience, or Human Resource experience.

             4.        Knowledge of QSS/QCC, Google Apps, Aesop, Live Scan Software.

 

ESSENTIALFUNCTIONS  (Depending on location, employee may perform some or all of the following functions.  Some positions may require technical expertise relating to specific job site functions.)

  1. Act as the substitute employee coordinator (Aesop operator) for the District.
  2. Act as the Live Scan fingerprinting operator for the District.
  3. Hiring of certificated substitute employees.
  4. Process human resources paperwork related to substitute employees such as but not limited to; prepare notice of reasonable insurance; maintenance of credentials; monitor performance and evaluations; and maintain personnel files.

             5.        Answer telephone and give out approved information to school personnel and the public.

             6.        Prepare and maintain confidential reports

             7.        File correspondence, forms and notices.

             8.        Maintain district volunteer database.

             9.        Maintain district TB requirements and database.

             10.       Prepare substitute and employee absence reports for school sites and payroll.

             11.       Perform other duties as required.

     2.  Able to learn quickly and adapt to a variety of machinery, instructions, and task methods.

     3.  Able to meet deadlines in terms of work assignment schedules. 

C.   Social

  1. Interact daily in person with other members of the school district, school staff, parents, and students, and possess comfortable interpersonal skills and cooperative attitudes.
  2. Because of the time urgent nature of duties and because work product of position is interdependent with that of other staff, consistent attendance is required.
  3. Convey an understanding, patient attitude toward other staff.
  4. Maintain the privacy of confidential information.
