NEWPORT-MESA UNIFIED SCHOOL DISTRICT CLASS TITLE: OFFICE ASSISTANT III BASIC FUNCTION: Under the direction of an assigned supervisor, perform a variety of responsible and technical clerical duties requiring specialized knowledge and independent judgment involving frequent and responsible public contacts; provide for proper input and output of a variety of data; provide sole clerical support for an assigned function or program; serve as lead person for other office personnel. DISTINGUISHING CHARACTERISTICS: The Office Assistant I classification is the entry level class in the Office Assistant series. Incumbents in this classification are assigned routine and repetitive clerical duties and generally work under close supervision. Duties can usually be performed with brief instructions and require minimal previous clerical experience. The Office Assistant II classification performs a variety of clerical support duties involving independent judgment in the interpretation and application of broadly defined policies and procedures. The Office Assistant III classification performs a variety of complex and diverse clerical duties involving independent judgment and action within an assigned office or a specific office functional area requiring in-depth knowledge of the function served. Incumbents may serve as sole clerical support to a program or activity or serve in a lead capacity for other office clerical personnel. REPRESENTATIVE DUTIES: Perform a variety of technical clerical functions in support of an assigned supervisor, coordinate office activities to reduce administrative detail for the assigned supervisor and other certificated or classified employees. E Prepare and type letters, memoranda, forms, records, reports, bulletins, handbooks, questionnaires, requisitions and documents; duplicate a variety of materials. E Receive and screen phone calls and visitors; schedule appointments and provide information and direct inquiries and visitors to proper person or office; transmit confidential or sensitive information as appropriate; provide technical information concerning policies and procedures of assigned program or office according to established guidelines. E Input, output, update and access a variety of records and information into computer system. E Compose correspondence either independently or from oral instruction, letters, memos, and other forms of communication, requesting or providing information. E Review and proof a variety of forms and materials for completeness, accuracy and conformance to established regulations and procedures. E Office Assistant III - Continued Page 2 Perform clerical arrangements for home-to-school transportation of special education students. E Answer telephone, greet students and/or staff and the public and provide routine information and direct inquiries to the appropriate person or office; make phone calls to request or provide information as directed. E Perform technical responsibilities related to assigned function such as compiling information from a variety of sources and preparing complex reports as required by District, County, State or federal regulations; communicate with other agencies or departments to provide or obtain a wide variety of information. E Prepare and maintain a variety of logs, files and records. E Assure the timely distribution and receipt of a variety of records and reports; request or provide information as necessary to assure completeness and accuracy. E Operate a variety of office machines including a computer, typewriter, dictation equipment, calculator and duplicating machine. E Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Modern office practices, procedures and equipment. Telephone techniques and etiquette. Record keeping and filing techniques. Appropriate terminology of assigned function. Correct English usage, grammar, spelling, punctuation and vocabulary. District organization, operations, policies and objectives related to assigned function. Applicable sections of State Education Code and other applicable laws. Interpersonal skills using tact, patience and courtesy. Oral and written communication skills. Operation of a computer. ABILITY TO: Perform responsible and complex technical clerical work involving independent judgment and requiring accuracy and speed. Understand, interpret rules and written directions and apply to specific situations. Compose correspondence independently. Establish and maintain cooperative and effective working relationships with others. Analyze situations accurately and adopt an effective course of action. Meet schedules and time lines. Perform duties effectively with many demands on time and constant interruptions. Plan and organize work. Work confidentially with discretion. Maintain records and prepare reports. Communicate effectively both orally and in writing. Type and input data at a net corrected speed of 50 words per minute. Learn to operate new software applications. Make arithmetic calculations quickly and accurately. Understand and follow oral and written directions. Operate a variety of office equipment such as typewriter, computer, dictation equipment and duplicating machine. EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from high school and three years increasingly responsible clerical experience. WORKING CONDITIONS: ENVIRONMENT: Office or school environment. PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a computer and standard office equipment. Sitting or standing for extended periods of time. Hearing and speaking to exchange information on the telephone or in person. Seeing to assure complete and accurate reports and letters. Reaching overhead above the shoulders and horizontally to maintain and retrieve files.
