Merced College is a midsized community college located in California's Central Valley. The Merced College Business Resource Center is seeking an Administrative Assistant II who will support all programs of the Business Resource Center and provide a welcoming environment to students, staff, and members of the public. General Description:
Under general supervision; incumbent will coordinate assistance to students and staff; develop and maintain the budget; develop statistical data; perform varied secretarial and clerical duties; coordinate office activities; provide administrative relief; supervise clerical functions; oversee assigned area in the absence of administrator; and perform related work as required.

Examples of Duties

Representative Duties:

• Performs a wide variety of clerical and secretarial duties involving the use of considerable independent judgment and an understanding of district policies, functions and procedures
• Develops working knowledge of special terminology related to the function to which assigned
• Receives visitors and gives out information or refers callers to proper officials
• May take minutes
• Types a variety of materials
• Answers routine letters independently
• Receives telephone calls
• Arranges meetings for the supervisor which may involve contact with other departments
• May make travel and hotel reservations
• Prepares schedules of meetings and insures that participants are informed of meeting dates
• Keeps records of various committees
• Installs and revises filing systems and other clerical procedures
• Receives a variety of information which may be of a confidential nature
• Orders supplies
• Operates varied office equipment
• Assists in the process which leads to the hiring of employees
• Trains, assigns and reviews work of subordinate employees or student assistants
• Coordinates workshops
• Facilitates outreach activities
• Provides students with college information and other services
• Provides budget management
• Responsible for all monetary procedures
• Maintains subsidiary programs
• Collects and organizes record of services provided to students
• Coordinates scheduling of facilities
• Coordinates the development and implementation of schedules
• Other related duties as assigned

Knowledge of:

• Modern office equipment, practices and procedures
• Program guidelines and policies
• Principles of business letter and report writing including the use of good English, spelling and punctuation
• Collection and organization of data and information

Ability to:

• Read, understand, learn and apply pertinent procedures and requirements
• Compile and analyze data
• Train and supervise student workers
• Type at 55 words per minute
• Effectively communicate both orally and in writing
• Work independently and with a minimum of supervision
• Work cooperatively with students, the public and District personnel
• Promote and incorporate culturally affirming DEIA and anti-racist principles to nurture and create a respectful, inclusive, and equitable learning and work environment. In conducting their duties, staff members shall respect and acknowledge the diversity of students and colleagues.

MINIMUM QUALIFICATIONS

Required:

• High school diploma OR GED AND three (3) years applicable experience
OR
• An associate's degree
OR
• The equivalent education and experience
• Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students
