Business and Operations Technician

Under the general direction of the administration, performs a wide variety of advanced and complex secretarial and business duties at the school site.   Employee in this classification receives limited supervision within a broad framework of policies and procedures. Performs other related duties as assigned.

MINIMUM QUALIFICATIONS – EDUCATION AND/OR TRAINING:

High school diploma or equivalent.

DESIRABLE QUALIFICATIONS

Accounting/Bookkeeping classes or experience.

MINIMUM EXPERIENCE:

Five years of recent progressively responsible clerical experience or a combination of Associate in Arts degree or equivalent college-level training with two years of progressively responsible clerical experience.

SKILLS AND ABILITIES:

  1. Utilizes proper English usage, grammar, punctuation, spelling, and speaking skills.
  2. Practices proper office methods and procedures.
  3. Practices effective financial record keeping procedures and techniques.
  4. Possesses knowledge of School policies, rules, and regulations.
  5. Identifies and defines problems, collects data, establishes facts and draws valid conclusions.
  6. Works with students, school personnel, and the general public in a pleasant and cooperative manner.
  7. Understands and follows complex oral and written instructions and completes assignments in an independent manner.
  8. Establishes and accurately maintains a variety of complex records and files, and prepares related reports.
  9. Performs advanced and complex secretarial/clerical work and mathematical calculations with speed and accuracy.
  10. Analyzes situations and takes appropriate action regarding routine/emergency procedural matters without immediate supervision.
  11. Maintains proficiency to meet school standards on current office equipment and computer software applications.
  12. Plans, organizes, and coordinates assigned tasks so as to meet established timelines.
  13. Maintains professional confidentiality and works collaboratively with peers.
  14. Types at a net speed of 50 wpm.

ESSENTIAL FUNCTIONS:

  1. Responsible for the daily clerical operation of the school site. Trains, directs, and monitors the work of other support staff.
  2. Receives, opens, sorts, and distributes mail; responds to items not requiring the personal attention of the school site administrator. Composes correspondence independently, and completes necessary filing.
  3. Attends necessary staff meetings and in-service trainings.
  4. Maintain confidentiality on issues concerning program and staff.
  5. Arranges and schedules a variety of meetings, orientations, appointments, etc., notifying participants, confirming dates and times, reserving meeting sites, taking and/or transcribing minutes, and preparing needed materials, including School Board meetings.
  6. Responsible for the general accounting procedures of the school site, including but not limited to budget and student body accounting, purchase requisitions, purchase orders, and any banking related duties.
  7. Registers new students; maintains student records and prepares reports.
  8. Schedules use of site facilities.
  9. Responsible for overall coordination of staff absences, including processing of industrial injury/illness claims.
  10. Serves as liaison between school site administrator, staff, and public.
  11. Answer telephones in a professional manner and follows through as appropriate.
  12. Operates a variety of standard office equipment including typewriter, computer terminal, printer, copier, and calculator.
  13. Prepares a variety of documents and materials in support of school site operations, including statistical reports, forms, and rosters.
  14. Maintains various site inventories of materials, equipment, and supplies.
  15. Administers first aid to students as necessary; dispenses medication in accordance with doctor and parent authorization.
  16. Maintains timely, regular, and consistent attendance at work.

PHYSICAL REQUIREMENTS:

  1. Stands, walks and bends over, kneels, crouches, reaches overhead, grasps, pushes, and pulls.
  2. Moves, lifts, and/or carries up to 30 pounds to waist height.
  3. Demonstrates normal depth perception.
  4. Sits, walks, or stands for extended periods of time.
  5. Dexterity of hands and fingers to operate a computer keyboard or typewriter, operate standard office equipment, and use a telephone.
  6. Sees and reads a computer screen and printed matter with or without vision aids.
  7. Distinguishes colors.
  8. Reads and understands rules and policies, labels, and instructions.
  9. Verbal communications including the ability to speak and hear at normal room levels and on the telephone.
  10. Ability to work at a computer terminal for extended periods of time.

WORK ENVIRONMENT:

  1. Works indoors in a standard office environment.
  2. May be exposed to childhood and other diseases in a school environment.
  3. Possible exposure to blood and other body fluids as well as blood borne pathogens.
  4. May be exposed to dust, oils, and cleaning chemicals, including antiseptics and disinfectants.
  5. May be required to work outside of normal workdays and office hours to meet operational deadlines.
  6. May be required to work in emergency situations.

SPECIAL REQUIREMENTS

  1. Maintain valid First Aid and CPR Certification.
  2. Maintain valid California driver’s license.
  3. Maintain District-insurable driving record.
