Business and Operations Technician
Under the general direction of the administration, performs a wide variety of advanced and complex secretarial and business duties at the school site. Employee in this classification receives limited supervision within a broad framework of policies and procedures. Performs other related duties as assigned.
MINIMUM QUALIFICATIONS – EDUCATION AND/OR TRAINING:
High school diploma or equivalent.
DESIRABLE QUALIFICATIONS
Accounting/Bookkeeping classes or experience.
MINIMUM EXPERIENCE:
Five years of recent progressively responsible clerical experience or a combination of Associate in Arts degree or equivalent college-level training with two years of progressively responsible clerical experience.
SKILLS AND ABILITIES:
- Utilizes proper English usage, grammar, punctuation, spelling, and speaking skills.
- Practices proper office methods and procedures.
- Practices effective financial record keeping procedures and techniques.
- Possesses knowledge of School policies, rules, and regulations.
- Identifies and defines problems, collects data, establishes facts and draws valid conclusions.
- Works with students, school personnel, and the general public in a pleasant and cooperative manner.
- Understands and follows complex oral and written instructions and completes assignments in an independent manner.
- Establishes and accurately maintains a variety of complex records and files, and prepares related reports.
- Performs advanced and complex secretarial/clerical work and mathematical calculations with speed and accuracy.
- Analyzes situations and takes appropriate action regarding routine/emergency procedural matters without immediate supervision.
- Maintains proficiency to meet school standards on current office equipment and computer software applications.
- Plans, organizes, and coordinates assigned tasks so as to meet established timelines.
- Maintains professional confidentiality and works collaboratively with peers.
- Types at a net speed of 50 wpm.
ESSENTIAL FUNCTIONS:
- Responsible for the daily clerical operation of the school site. Trains, directs, and monitors the work of other support staff.
- Receives, opens, sorts, and distributes mail; responds to items not requiring the personal attention of the school site administrator. Composes correspondence independently, and completes necessary filing.
- Attends necessary staff meetings and in-service trainings.
- Maintain confidentiality on issues concerning program and staff.
- Arranges and schedules a variety of meetings, orientations, appointments, etc., notifying participants, confirming dates and times, reserving meeting sites, taking and/or transcribing minutes, and preparing needed materials, including School Board meetings.
- Responsible for the general accounting procedures of the school site, including but not limited to budget and student body accounting, purchase requisitions, purchase orders, and any banking related duties.
- Registers new students; maintains student records and prepares reports.
- Schedules use of site facilities.
- Responsible for overall coordination of staff absences, including processing of industrial injury/illness claims.
- Serves as liaison between school site administrator, staff, and public.
- Answer telephones in a professional manner and follows through as appropriate.
- Operates a variety of standard office equipment including typewriter, computer terminal, printer, copier, and calculator.
- Prepares a variety of documents and materials in support of school site operations, including statistical reports, forms, and rosters.
- Maintains various site inventories of materials, equipment, and supplies.
- Administers first aid to students as necessary; dispenses medication in accordance with doctor and parent authorization.
- Maintains timely, regular, and consistent attendance at work.
PHYSICAL REQUIREMENTS:
- Stands, walks and bends over, kneels, crouches, reaches overhead, grasps, pushes, and pulls.
- Moves, lifts, and/or carries up to 30 pounds to waist height.
- Demonstrates normal depth perception.
- Sits, walks, or stands for extended periods of time.
- Dexterity of hands and fingers to operate a computer keyboard or typewriter, operate standard office equipment, and use a telephone.
- Sees and reads a computer screen and printed matter with or without vision aids.
- Distinguishes colors.
- Reads and understands rules and policies, labels, and instructions.
- Verbal communications including the ability to speak and hear at normal room levels and on the telephone.
- Ability to work at a computer terminal for extended periods of time.
WORK ENVIRONMENT:
- Works indoors in a standard office environment.
- May be exposed to childhood and other diseases in a school environment.
- Possible exposure to blood and other body fluids as well as blood borne pathogens.
- May be exposed to dust, oils, and cleaning chemicals, including antiseptics and disinfectants.
- May be required to work outside of normal workdays and office hours to meet operational deadlines.
- May be required to work in emergency situations.
SPECIAL REQUIREMENTS
- Maintain valid First Aid and CPR Certification.
- Maintain valid California driver’s license.
- Maintain District-insurable driving record.
