General Description
Under the direction of the Director of Financial Aid and the Hanford Provost, perform complex and responsible work in the development and maintenance of records related to student financial aid and awards for grants and loans; provide financial aid information to students and assist in determining income, academic and financial aid eligibility according to established procedures and guidelines for a variety of financial aid and grant programs; enter financial data in computer.
The working hours will be:
Monday - Friday 9:00 a.m. - 6:00 p.m.
Full-Time 12-months. Initial placement is at $59,405.
This position will be assigned to the Hanford Educational Center. However, the Financial Aid Specialist may be required to work at other District and off-site locations for meetings, trainings, staff shortages, or outreach activities.
Job Duties
Representative Duties:
• Receive financial aid applications and review to assure accuracy and completeness of documents; assist in determining income, academic and financial aid eligibility according to established procedures and guidelines; review academic transcripts for satisfactory academic progress.
• Utilize computer terminal and applicable financial aid software to create accounting records; assure compliance with local, State and federal audit standards.
• Post records and prepare statistical and other reports as required by local, State, and federal entities; report total students awarded federal grants to the Department of Education; maintain budget on financial aid system; transmit related information electronically.
• Assure payments distributed accurately reflect amount to which each student is entitled; place holds on and void checks according to established guidelines and procedures.
• Assure that records maintained accurately reflect the current enrollment and academic status and entitlement of each financial aid recipient.
• Provide information to students regarding availability and types of financial aid programs; prepare and distribute financial aid applications and other related information.
• Create permanent records for financial aid recipients and maintain in current status. E
• Perform verification of reported income and asset data reported by applicants and parents in accordance with federal and State regulations.
• Enter financial data in computer for award determination; schedule accurate grant payments to students.
• Perform needs analysis and compute awards; operate a computer terminal to enter new awards, revised or canceled awards and payment schedules.
• Correspond with funding sources as necessary; serve as liaison between California Student Aid Commission, lenders and students; determine and report Cal Grant eligibility.
• Utilize integrated software in performing the required duties of the position.
• Conduct exit interviews with recipients who have outstanding loans.
• Perform general clerical duties in financial aid office.
• Train and provide work direction to student employees.
• Utilize the District's integrated software in performing the required duties of the position.
• Perform related duties as assigned.
Qualifications
Education and Experience:
Any combination equivalent to: two years of college-level course work in a related field and two years of increasingly responsible experience in financial record-keeping methods and procedures.
Knowledge and Abilities
Knowledge of:
• Rules, regulations and policies pertaining to financial aid programs.
• Operation of a computer terminal and micro-computer.
• Methods and practices of financial and clerical record-keeping.
• Modern office practices, procedures and equipment.
• Oral and written communication skills.
• Correct English usage, grammar, spelling, punctuation and vocabulary.
• Interpersonal skills using tact, patience and courtesy.
Ability to:
• Perform complex and responsible work in the development and maintenance of records related to student financial aids.
