SENIOR ACCOUNTING ASSISTANT

BASIC FUNCTION:

Under the direction of an assigned supervisor, perform a variety of complex clerical accounting duties in support of assigned accounts and functions; process, record and update accounts and records with various transactions including income and expenditures; prepare, maintain and assure accuracy of various financial records and reports.

REPRESENTATIVE DUTIES:

ESSENTIAL DUTIES:

Perform a variety of complex clerical accounting duties in support of assigned accounts and functions such as accounts payable, accounts receivable, food services, budget maintenance, ASB accounting and payroll; process and assure accuracy and completeness of various financial forms and documents; audit accounts for errors and make appropriate adjustments.

Calculate, assemble, match, sort, tabulate, review and post a variety of financial and statistical data; review, adjust and assure accuracy of ledgers and journal entries; balance, adjust and reconcile accounts and budgets; review data for accuracy and completeness; initiate transfers as appropriate.

Receive, process, sort and file purchase orders and invoices as assigned; prepare purchase orders, invoices and other documents for payment; verify invoices and match with purchase orders and other documents; process and prepare outgoing warrants and payments for distribution.

Process accounts receivable as assigned; collect, receive, verify and account for incoming monies; prepare and process receipts; check money totals against receipts and invoices to assure accuracy; prepare, reconcile and distribute bank deposits; prepare invoices and arrange for billings as directed.

Research, compile, prepare and revise accounting data; prepare and maintain a variety of auditable financial and statistical records, reports and files related to accounts, transactions, income, expenditures, budgets, balances, reconciliations, purchase orders, invoices and assigned activities.

Receive, review and verify a variety of accounting information; calculate and assure accuracy of incoming and outgoing payments; prepare and process a variety of financial forms and documents such as payments, claims, reimbursements, billings, requisitions and contracts.

Assist in the maintenance and updating of budgetary records and data as assigned; monitor and update budgets with income and expenditures; calculate, prepare and revise budgetary data; assist in assuring compliance with budget limitations; process and prepare budget transfers as required.

Input and update a variety of accounting data in an assigned computer system; maintain automated financial records and files; initiate queries, develop spreadsheets and generate a variety of computerized lists and reports; assure accuracy of input and output data.

Prepare and process payroll to assure employees are paid in an accurate and timely manner as required; process, audit, input and assure accuracy of time sheets; process, calculate and prepare payments for distribution as assigned.

Compare and reconcile various forms, statements, records, reports and other financial documents; identify errors and resolve discrepancies; review data for accuracy and completeness; make corrections as needed.

Serve as an informational resource to District personnel and outside agencies concerning assigned accounting functions; respond to inquiries and provide information concerning related accounts, transactions, data, records, practices, policies and procedures.

Communicate with District personnel and various outside agencies to exchange information and resolve issues or concerns.

Operate a variety of office equipment including a calculator, copier, fax machine, typewriter, computer and assigned software.

Monitor inventory levels of designated supplies as required; order, receive and maintain adequate inventory levels of supplies; contact vendors to research product and pricing information; sell, distribute and collect monies for student store items as assigned by the position.

Provide input and assistance concerning budget planning, allocations and revisions as directed.

Compose, receive and respond to a variety of correspondence related to assigned fiscal functions; duplicate and distribute materials as needed.

Any combination equivalent to:  graduation from high school and three years clerical accounting experience.
