SECRETARY - HIGH SCHOOL ASSISTANT PRINCIPAL
DEFINITION
Under general supervision to perform secretarial and clerical work for an Assistant Principal at the high school level; to perform fiscal record keeping; to handle student records; and to do related work as required.
ESSENTIAL JOB FUNCTIONS
• Receives heavy volume of telephone calls and personal contacts from parents, pupils, teachers, various district offices, other schools, and the public requesting information, appointments and actions, leaving messages or instructions, or registering complaints.
• Answers questions and gives out information correctly and discreetly.
• Discusses problems and handles complaints diplomatically.
• Performs varied clerical and secretarial duties including fiscal record keeping.
• Receives visitors and answers questions.
• Makes appointments and/or refers visitors to proper individuals.
• Types bulletins, notices and/or letters.
• Operates office machines.
• Collects, prepares, maintains and records, student records, transcripts, and test scores as appropriate to position.
• Assists in making statistical reports of records and accounts maintained.
OTHER JOB FUNCTIONS
• Opens and distributes mail.
• Requisitions supplies.
• Assists with the training of student help.
• Performs other secretarial and fiscal duties as may be assigned.
DESIRABLE QUALIFICATIONS:
Knowledge of:
English, grammar, spelling, filing, and arithmetic;
Modern office methods, procedures, terms, and equipment;
Basic school and school district organization and terminology.
Basic computer operation.
Ability to:
Learn, interpret, and apply school policies and procedures;
Understand and follow oral and written instructions;
Plan, organize, and coordinate daily work independently;
Establish and maintain effective relationships with others;
Make arithmetical calculations with speed and accuracy;
Perform basic bookkeeping and financial record keeping without continuous supervision;
Prepare and maintain accurate records and reports;
Read and comprehend handwritten or typed documents, and the display screen of office machines;

Skills:
Typing: 50 words per minute
Experience:
Two years of responsible and varied secretarial and record keeping experience.
Education:
Graduation from high school, supplemented by business courses.
Personal Qualities:
Maturity; pleasant and friendly demeanor; sound judgment; ability to work under pressure and with frequent interruptions.
