Job Description
SUMMARY:
Under the direction of an assigned supervisor, perform a variety of specialized duties, such as public relations, publicity, accounting and bookkeeping functions to facilitate department and program operations.
ESSENTIAL FUNCTIONS:
Perform a wide variety of public relations duties to facilitate operations; provide information to the public concerning theatre productions, facility use and rental, tickets and related regulations, policies and procedures.
Schedule production performances and facility usage as required; prepare and maintain calendar of events.
Coordinate and schedule Touring Troup performances; organize travel arrangements and maintain related records and documents.
Manage and execute box office sales functions; sell tickets and prepare ticket orders; set-up and organize box office functions at other locations as appropriate; oversee the work of box office cashiers.
Train and provide work direction to box office cashiers; recruit, schedule and direct temporary staff for performances and events.
Perform a variety of bookkeeping and financial record keeping duties; reconcile cash, ticket sales and accounts; prepare bank deposits; post and maintain journals, ledgers and other financial records as assigned.
Prepare, process and review financial and statistical forms, reports, records and information; maintain accurate budget records and expenditures; prepare purchase orders and fund transfers as appropriate.
Prepare agenda items for meetings as required; take and transcribe minutes and distribute to appropriate personnel; maintain records of meetings as required.
Participate in publicity and promotional activities, prepare press releases and notices and arrange for media reviews as required; post notices and flyers.
Perform specialized duties related to facility rental as assigned; explain rental procedures and regulations and provide cost estimates to clients; prepare rental contracts; compute and process rental charges.
Coordinate communication and activities with district departments and personnel, the media, vendors and the public to facilitate theatre operations; compose correspondence as necessary.
Set-up and break-down concession stand; monitor and secure supplies, procure inventory, ensure concession items are available for sale to patrons.
Operate a variety of office equipment and machines including a personal computer, calculator, copier; etc.
Maintain currency of qualifications for area of assignment.
SECONDARY FUNCTIONS:
Attend meetings and participate in the planning of theatre productions and procedures; coordinate and participate in special events as required.
Order and maintain office, meeting supplies, and theatre materials; prepare and process purchase requisitions and payments according to approved procedures; return rented materials in a timely manner.
Compile information and prepare various reports and mailing lists related to theatre operations as required.
Ensure compliance with copyright, publisher and licensing laws and regulations; request contracts and arrange royalty fee payments.
Issue and oversee loaned materials (i.e., scripts, books, etc.) to students, faculty and staff.
Serve as department liaison for a variety of community outreach activities; solicit ticket sales and donations as appropriate.
Maintain departmental area(s) in a safe, clean and orderly condition; assure compliance with established safety procedures and regulations; arrange for additional campus services as required for performances.
Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
• Basic operations, terms and procedures for area of assignment.
• Services and functions of a theatre box office.
• Modern office practices, procedures and equipment, including telephone techniques and etiquette.
• Correct English usage, grammar, spelling, punctuation and vocabulary.
ABILITY TO:
• Perform specialized public relations, accounting and bookkeeping functions to facilitate theatre operations.
• Communicate effectively both orally and in writing.
• Interpret, apply and explain regulations, policies and procedures.
• Maintain financial, statistical and accounting records and files.
• Work independently with little direction; plan and organize work to meet schedules and timelines.
• Train and provide work direction to others.
• Understand and follow oral and written directions.
• Operate a personal computer including various software packages to enter and retrieve data using keyboarding skills in an efficient and effective manner consistent with requirements of the position.
• Establish and maintain cooperative and effective working relationships with others.
EDUCATION: Graduation from high school or equivalent supplemented by formal training in business office technologies. Experience in Theatre preferred.
EXPERIENCE: Increasingly responsible bookkeeping and accounting experience preferably in a theatre or similar environment.
WORKING CONDITIONS: Typical office environment. May work evening and weekend hours.
