CLASS TITLE: STUDENT INFORMATION SPECIALIST
BASIC FUNCTION:
Under the direction of an assigned supervisor, serve as the Student Information Specialist in the maintenance of student records related to registration, enrollment, attendance, scheduling and grades of students at an Elementary, Middle or Independent School site; support data systems associated with varying aspects of student information and record systems; assist in technical preparation for the Master Schedule; provide assistance in department or site programs or projects.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Incumbents in the classification may not perform all of these tasks or may perform similar related tasks not listed here.
• Organize and maintain automated student information systems containing a variety of data related to registration, enrollment, scheduling, attendance and grades at an elementary, middle or independent school site. (E1)
• Assist in technical preparation of the Master Schedule; establish dates and schedules for grading, academic warnings and registration. (E1)
• Enter course number, teacher, period, semester, location, units, department and maximum number of students. (E1)
• Communicate with parents, students, teachers and administrators regarding grading policies, record-keeping requirements and scheduling. (E1)
• Operate a computer terminal, microcomputer, typewriter, copier and other office machines. (E1)
• Maintain records related to promotional requirements and assist staff in evaluating transcripts and enrolling new students. (E1)
• Compose, send and distribute letters, memoranda, news releases, bulletins and other written materials; prepare reports and special projects as required. (E2)
• Train and provide work direction to student aides. (E3)
• Compile, prepare and revise handbooks and other resource documents.(E3)
• Perform secretarial and clerical work for supervisor as assigned.
• Perform related duties as assigned.
MINIMUM QUALIFICATIONS:
The requirements listed below are representative of knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
EDUCATION AND EXPERIENCE:
A. Graduation from High School or equivalent. Associates Degree Preferred.
B. Supplemental coursework, which may include workshops or seminars on computer applications or business, and two (2) years experience demonstrating increasing responsibility with automated record-keeping systems required. One year data entry desireable.
Or
Any combination of education, training, and/or experience which demonstrates the ability to perform the essential duties may be substituted for the required experience and/or education.
LICENSES AND OTHER REQUIREMENTS:
• A certificate stating freedom from Tuberculosis.
• A valid California Drivers License preferred.
• Valid First Aid Certification preferred.
• Valid CPR Certification preferred.
KNOWLEDGE OF:
• Automated student information systems and programs.
• Computer applications, including but not limited to Word Processing and Spreadsheet.
• School organization, district operations, policies and procedures.
• Legal requirements and regulations pertaining to student records.
• Modern office practices, procedures and equipment.
• Oral and written communication skills.
• Interpersonal skills including tact, patience and courtesy.
• Correct English usage, spelling and punctuation.
ABILITY TO:
• Assure the timely processing and maintenance of computerized student records and data.
• Type/keyboard 35 words per minute net.
• Assist in establishing and developing the Master Schedule.
• Operate a computer terminal to enter, update and maintain student information.
• Understand, apply and explain rules, regulations and requirements.
• Review data for completeness and accuracy.
• Meet schedules and time lines.
• Communicate effectively orally and in writing.
• Compose written materials.
• Analyze situations accurately and adopt an effective course of action.
• Work effectively and efficiently with constant interruptions.
• Maintain confidentiality of sensitive information.
