SANTA ANA UNIFIED SCHOOL DISTRICT SCHOOL ACCOUNT CLERK BASIC FUNCTION: Under the direction of the Coordinator of Student Activities, perform responsible accounting duties in receiving and accounting for funds received and disbursed from student body funds and assigned District accounts; order supplies, materials and equipment for the school and perform other secretarial and clerical support functions. REPRESENTATIVES: Maintain student accounts ledger and prepare and process deposits and purchase orders for student accounts. E Prepare purchase orders for purchases by clubs and maintain stock at student store; order additional supplies as necessary for the student store. E Prepare receipts for student store proceeds; prepare receipts for deposits to student club accounts and deposits daily, posting to the proper ledgers. E Receive and analyze the computer-generated report regarding student accounts; compare with school ledgers and identify and correct inconsistencies. E Verify invoices and prepare disbursement orders for payment by District; obtain necessary approval from student council for payment of funds. E Maintain resource files and files of purchase orders for student accounts. E Receive and record funds received for District accounts such as shop fees. E Prepare financial reports for school personnel as requested providing proper analysis. E Prepare and maintain security calendar including all school events and activities. E Supervise student store workers and receive shipments of supplies. E Assist with the school activities calendar; type weekly schedules and distribute to the school. Perform a wide variety of secretarial duties as required by the office such as letters, memos and forms. Assist in the support of student projects; prepare ballots for elections and assist with school pictures, graduation exercises and other student activities. Assist with the athletic program in preparing funds for change at athletic events; order athletic and field trip buses; maintain accounts for athletic programs. Assist in the sale of student body cards, tickets and other fund raising activities. Maintain close cooperative contact with other school personnel. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Bookkeeping principals and financial reporting methods and practices. District rules and policies concerning the operation of student body funds. Financial record-keeping operations. Modern office practices, procedures and equipment. Record-keeping techniques. Technical aspects of field of specialty. ABILITY TO: Make arithmetic calculations. Maintain a complete set of student body books and records. Apply accounting concepts to school operations. Work cooperatively with others. Communicate effectively with others. Establish and maintain effective working relationships with others. Type at 40 words per minute. Meet schedules and time lines. Maintain records and prepare reports. Communicate effectively both orally and in writing. Perform the essential functions of the job. EDUCATION AND EXPERIENCE: Any combination equivalent to graduation from high school supplemented by additional course work in bookkeeping and record-keeping methods and three years experience in bookkeeping or a related field, one year of which should be within a school environment. WORKING CONDITIONS: ENVIRONMENT: High school office environment. Constant interruptions. PHYSICAL ABILITIES: Hearing and speaking accurately to exchange information. Seeing to read a variety of materials. Sitting for extended periods of time. Dexterity of hands and fingers to operate a computer keyboard. Bending at the waist, kneeling or crouching to file materials. Lifting or moving objects, normally not exceeding twenty (20) pounds.
