ATTENDANCE ACCOUNTING ASSISTANT III

 

 

BASIC FUNCTION:

 

Under the direction of the Assistant Principal, prepare, maintain, and account for Average Daily Attendance (ADA) and other attendance records and reports for a comprehensive high school in accordance with established rules and regulations; analyze and process a variety of data; communicate with staff, students, parents, and community concerning student attendance; provide work direction to assigned clerical staff.

 

DISTINGUISHING CHARACTERISTICS:

 

Attendance Accounting Assistant III incumbents perform the more complex attendance accounting duties, and prepare, maintain, and account for attendance records and reports for a comprehensive high school while providing work direction to assigned clerical staff. Incumbents in the Attendance Accounting Assistant I classification perform clerical duties related to high school attendance accounting. Attendance Accounting Assistant II incumbents perform student attendance accounting and clerical duties at a middle school or continuation high school and assist with enforcing attendance policies.

 

REPRESENTATIVE DUTIES:

 

Prepare, maintain and account for ADA and other attendance records and reports for a comprehensive high school in accordance with established rules and regulations; assure accurate accountability for student attendance.

 

Communicate with staff, students, parents, and the community to exchange information and resolve issues or concerns related to student attendance, truancy and discipline.

 

Assist with enforcing attendance policies according to established guidelines and procedures; notify parents of student absences; oversee, counsel, and discipline students as assigned; assist with assigning student suspensions; prepare and send letters related to the Student Attendance Review Board, detention no-shows, tardiness and other discipline issues.

 

Serve as a lead in the attendance office; train and provide work direction to assigned staff and student aides.  

 

Perform clerical duties related to assigned activities; receive telephone calls from parents concerning student attendance; retrieve and respond to messages as appropriate; maintain telephone log; prepare letters, memoranda, and correspondence concerning student attendance, truancy, tardiness, and discipline.

 

Verify student absence information with teachers and parents; receive parent notes and verify suspicious signatures; assist students and parents at attendance window or counter; issue readmit slips and off-campus and hallway passes to students; set up automated phone calls.

 

Input a variety of information into assigned student information software system(s) including student attendance, truancy, and discipline; scan, separate, and assure teachers receive attendance sheets.

 

Prepare detention slips and referrals for students with truancy issues and submit to appropriate personnel; communicate truancy issues to appropriate personnel or agency including police, probation, and truancy officers according to established procedures.

 

Operate a variety of office equipment.

Prepare and maintain a variety of records and reports related to truancy, discipline, suspension, and other attendance related issues.

 

Participate in other assigned activities such as coordinating independent study contracts, assisting with Saturday school activities, performing student registration duties, and withdrawing, transferring, and releasing students.

 

Perform related duties as they relate to this classification.

Operate a computer and assigned software.

EDUCATION AND EXPERIENCE:

 

Graduation from high school and three years of general clerical experience including one year in school district attendance work.

EDUCATION AND EXPERIENCE: Graduation from high school and three years of general clerical experience including one year in school district attendance work.

***Vacancy: Del Norte High School, expected 1/2025*** **This is a 40 hour/ week position, 11 months/ year and is Benefits Eligible.** The Personnel Commission is accepting applications in order to establish an eligibility list for the position of Attendance Accounting Assistant III. This list will be good for six (6) months, and will be used to fill current and future vacancies and to process substitutes as needed.

Requirements / Qualifications

EDUCATION AND EXPERIENCE: Graduation from high school and three years of general clerical experience including one year in school district attendance work.
