SALARY RANGE

$21.63 - $26.37 Hourly

BASIC FUNCTION:

Under the direction of an assigned administrator or supervisor, performs a variety of supportive and technical payroll duties including clerical payroll support; performs general office clerical activities; records management and performs related duties as assigned. This is an entry-level payroll position; positions in this class normally perform routine clerical tasks involved in the preparation of financial records that are subject to regular review, audit and data-entry.


REPRESENTATIVE DUTIES:

INITIAL/MINIMUM QUALIFICATIONS:

EDUCATION AND EXPERIENCE:

EDUCATION: Graduation from high school (or GED equivalent). Coursework or a degree in a financial field is desirable and preference may be given to such candidate.

EXPERIENCE: Two (2) years of increasingly responsible office or clerical experience with clear evidence of payroll-related experience, such as submitting payroll, inputting and tracking payroll data.    

LICENSE AND CERTIFICATIONS:
Typing Certificate indicating a minimum speed of forty (40) words per minute. A typing test will not be given. Demonstrated proficiency will be expected during the probationary period for this classification.


KNOWLEDGE, SKILLS, ABILITIES AND WORKING CONDITIONS:

ENVIRONMENT: District office environment with many interruptions.


KNOWLEDGE OF:

Up-to-date principles, practices, methods and terminology used in payroll and benefits.

Current laws, guidelines, codes, regulations and rules related to payroll and benefits operations.

District organization, operations, policies, procedures, objectives, goals, rules, and regulations.

Operation of a variety of modern office equipment and software, applicable to this classification, including a computer.

Record keeping, report preparation, and filing techniques.

Correct English usage, grammar, spelling, punctuation and vocabulary in either, written, or oral communication.

Telephone etiquette and techniques. Oral and written communication skills. 

Intermediate-level math and statistics, including fractions, percentage, and ratios.

Interpersonal skills using tact, patience and courtesy. Some positions may require correct usage, grammar, spelling, punctuation and vocabulary, in either written or oral communication, in a designated second language, as applicable. 
 

ABILITY TO:

Perform a variety of complex secretarial duties, including, frequent public contacts related to the functions, and meeting schedules and timelines.

Plan, organize, and coordinate work for self, while coordinating and working with others to meet team needs and goals. 

Meet schedules, timelines, and complete assignments with many interruptions.

Learn and follow oral and written instructions.

Analyze situations accurately and recommend and adopt an effective action plan.

Maintain current knowledge of laws, rules and regulations related to payroll and benefits activities.

Maintain records. 

Type at a speed of not less than 40 words per minute.

Use proper spelling, punctuation and grammar.

Compose correspondence and written materials independently for review and distribution.

Communicate effectively both orally and in writing in English and some positions may require a designated second language.



OTHER REQUIREMENTS:

ENVIRONMENT & PHYSICAL DEMANDS: Dexterity of hands and fingers to operate modern office equipment; Hearing and speaking to exchange information; Sitting or standing for extended periods of time; Seeing to read a variety of materials, both in hard copy and soft copy format; Bending at the waist, kneeling, crouching, lifting to manipulate, move and use office and materials.

One (1) year of payroll related experience, such as submitting payroll, inputting and tracking payroll data. Related college level coursework or an Associate degree in a financial field is preferred.
