SUBSTITUTE ASSIGNMENT

SCHOLARSHIP SPECIALIST – FINANCIAL AID

CUYAMACA COLLEGE

 

The following position is available as a substitute assignment for the Cuyamaca College, Financial Aid Department. The assignment is expected to begin December 2022 and last approximately 12 months.

SALARY

CL-30: $3,695 (Step A)

 

The compensation shall be paid at the step of the higher classification which is at least five (5) percent greater than the bargaining unit member’s monthly salary, including any longevity increment.

Monday – Thursday, 8am – 5pm and Friday, 8:00am – 4:30pm

 

SUMMARY: Under the direction of an assigned supervisor, coordinate and administer the college scholarship and short-term loan fund to retain and support students seeking financial assistance to complete their educational goals.

 

EDUCATION: Completion of a two-year college degree or equivalent with emphasis in accounting and computer software programs.

 

EXPERIENCE: Increasingly responsible experience in college scholarship programs or fund raising activities or related field.

Under the direction of an assigned supervisor, coordinate and administer the college scholarship and short-term loan fund to retain and support students seeking financial assistance to complete their educational goals.

 

ESSENTIAL FUNCTIONS:

 

Develop policies, procedures and processes for administering the college scholarship program.

 

Review scholarship applications and academic transcripts for compliance with donor criteria.

 

Manage and monitor scholarship accounts and budget.

 

Use various types of software to monitor and track scholarship funds; keep current in the technical aspects of scholarship programs. .

 

Develop and establish scholarship calendar for academic year; set deadlines.

 

Promote, publicize and disseminate information about the college’s Scholarship Program including development of brochures, flyers, posters and Web Site.

 

Offer and conduct group workshops for students and staff to provide information about the scholarship program.

 

Research and document demands for new scholarships, and forecast future scholarship development needs.

 

Develop promotional materials for the program and distribute to students, faculty, staff and the public about the scholarship program.

 

Coordinate the recognition and awards for students achieving academic excellence at the Scholarship and Awards Presentation; work with deans, directors, chairs and coordinators on department nomination of students for scholarship award.

 

Interview, advise and provide guidance to students in developing a plan of action to secure scholarship awards.

 

Advise and assist deans, directors, chairs and coordinators on the establishment of instructional, departmental and program specific scholarships; coordinate selection of recipients and disbursement of awards.

 

Chair the Scholarship Selection Committee which reviews, evaluates and selects recipients for the college scholarship program.

 

Represent the college at community and campus award programs and make scholarship award presentations.

 

Coordinate with Student Affairs Office on the Award Program.

 

Monitor scholarship and short-term loan fund balances; monitor accrued interest used to fund scholarships; reconcile scholarship and loan fund balances with district accounting (IFAS) and financial aid (SAM) databases.

 

Analyze expenditure patterns of awards to determine if awards are being offered and awarded to a representative cross section of students.

 

Research and analyze demand for new scholarships for specific departments, programs, majors or groups of students and forecast need for future scholarship development.

 

Approve all scholarship awards and authorize all check disbursements to recipients.

 

Coordinate with district accounting on processing of scholarship check and college cashier on disbursement of checks.

 

Order reports and reconcile balances in scholarship and short-term loan fund with district accounting (IFAS) and Title IV financial aid programs.

 

Compile, evaluate and interpret statistical data on scholarship and short-term loan programs; submit annual reports to director and governing board.

 

Enter biographical and award information into Student Aid Management (SAM).

 

Maintain a variety of records and files in compliance with Title IV and federal regulations.

 

Monitor changes in federal regulations pertaining to scholarships and Title IV funds.

 

Advise potential scholarship sponsors about policies, procedures and process for establishing a scholarship; recommend criteria and approve award amounts that reflect current cost of attending college.

 

Serve as liaison between the college’s Scholarship Program and local high school counselors, students and parents.

 

Generate press releases about the college’s Scholarship Program for distribution to the campus and community.

 

Negotiate and resolve disputes between scholarship sponsors and recipients.

 

Operate a variety of office machines and equipment including computers, printers, calculators, copiers and fax machines.

Financial and statistical recordkeeping techniques.

 

Correct English usage, grammar, spelling, punctuation and vocabulary.
