BASIC FUNCTION:
Under the direction of a secondary school Assistant Principal perform a variety of responsible duties related to the maintenance of student records; enter and update student information on a computer terminal; perform a variety of clerical and secretarial duties in support of administrative staff. Perform other related duties as requested.
Distinguishing Characteristics: The Records Clerk is assigned to a junior high school and is responsible for maintaining permanent student records containing grades, coursework, test scores and other data. The Senior Records Clerk is assigned to a High School, Adult Education School or Continuation High School. Incumbents maintain students records independently and participate in determining student eligibility for graduation.

REPRESENTATIVE DUTIES:
Maintain permanent student records and file a variety of materials including grades, test scores, referrals, class schedules and changes, suspensions and other pertinent data. Request records of new students from former schools; establish cumulative folders and transcript cards. Review enrollment forms for accuracy and completeness and process in accordance to established procedures. Enter academic, demographic and personal student data on a computer terminal, update changes or addresses, phone numbers and student program as needed. Respond to written, telephone and personal request for student information in accordance with District policies and guidelines; transmit former student records to other schools as appropriate. Communicate with faculty, advisors, parents, students and others regarding student enrollment, withdrawal, coursework and disciplinary action. Prepare and maintain a variety of records, logs, lists and equipment including a typewriter, copier and computer workstation. Perform a variety of clerical and secretarial support duties such as typing, filing, and answering telephones in support of school administrators. Communicate with Attendance Clerks and other District personnel to coordinate enrollments, check-outs and student program changes. Perform other related duties as requested.
INITIAL/MINIMUM QUALIFICATIONS:
• High School graduate or equivalent. Preferred: Supplemental course work in modern office practices and computers.
• One (1) year of general clerical experience including the maintenance of a variety of records and files.

Learn District policies and State regulations related to enrollment and record keeping. Maintain permanent student records and files. Enter and update information on a computer terminal. Perform simple calculations rapidly and accurately. Understand and follow oral and written directions. Learn, interpret, apply and explain rules, regulations and policies and procedures. Complete work with many interruptions. Type accurately and according to schedules or timelines. Work independently. Establish and maintain cooperative and effective work relationships with others.
WORKING CONDITIONS:
Office environment at a school site; subject to frequent interruptions and moderate noise level. While performing duties this position will require regular use of hands to fingers to handle, feel and operate objects, controls, machines and equipment. The employee will regularly stand and sit. The position will require use of vision including close, distant, color, peripheral, depth and the ability to focus. Because the position will require basic math skills, the incumbent must be able to add and subtract using more than two digit numbers, multiply and divide and learn, comprehend, interpret and explain various rules, regulations, policies and procedures.
