Merced College is a midsized community college located in California's Central Valley. General Description:
Under the supervision of the Assistant Director, coordinates scheduling of all District facilities and rental of on and off-campus facilities; coordinates tasks pertaining to routine and emergency custodial, grounds, and events activities; performs clerical functions for the Assistant Director.
Examples of Duties
Essential Functions:
• Performs clerical and technical duties in support of the department and the department administrator
• Provides requested information where judgement, knowledge, and interpretation of departmental procedures and regulations are necessary
• Attends department meetings, prepares minutes and summaries of actions taken
• Receives routine and emergency requests for departmental needs
• Assists in preparing information for the budget and maintains budget records and files
• Prepares requisitions, designates accounts to be charged, follows up on purchase orders for the departments
• Prepares reports of financial and statistical data
• Verifies invoices and other charges prior to forwarding to Purchasing Department and Accounts Payable
• Assists in coordinating communications with other offices in the District
• Prepares and schedules job assignments into work order system and delegates to appropriate supervisor, coordinator, or staff member and follows through on all activities to ensure adherence to schedule
• Assists administrator in facilitating training and staff development for Events and Operations staff, including in-house workshops, vendor-sponsored demonstrations and seminars, and regularly scheduled department meetings
• Receives and distributes mail
• Acts as liaison for community groups, faculty and administration on facility use
• Schedules all classrooms, meeting rooms, athletic fields, gym, pool, theater and cafeteria for use by credit and non-credit programs, Community Services, community organizations, private groups and college-related groups and departments
• Coordinates all aspects of major events, including facility reservation, facility form processing, contract preparation, chairing event-coordinating meetings, insurance, billing, and scheduling any custodial and security needs for events
• Assists with completing space inventory data collection and reporting
• Assists with coordination of office moves
• Performs other related duties as assigned
Knowledge of:
• A wide variety of coordination duties involving independent judgment and an understanding of district policies, function and procedures
• Modern office practices and procedures, including the use of a computer
• Principles of office management
• Collection and organization of data and information
• Principles of business letter and report writing, including the use of appropriate grammar, spelling and punctuation
Ability to:
• Use appropriate telephone and customer service techniques

Typical Qualifications
MINIMUM QUALIFICATIONS
Required:
• Associate's degree AND at least one year of applicable experience
OR
• High school diploma OR GED AND four (4) years applicable experience
• The equivalent education and experience
• Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students
Desired:
Familiarization with Student Information System/Enterprise Resource Planning computer system and Excel software
