Job Description
SUMMARY:
Under the direction of an assigned Supervisor or under the guidance of an assigned lead position, perform a variety of warehouse activities including stocking, shelving, filling requisitions and checking in supplies and materials; perform a variety of driving activities; input data into computer terminal and perform other clerical duties including maintaining related records.
ESSENTIAL FUNCTIONS:
• Inspect incoming stock for conformity to purchase orders and report shortages, damages and other discrepancies.
• Unload, check and shelve incoming materials, equipment and supplies; authorize and receive merchandise; unload trucks and identify, store and distribute purchased supplies, materials and equipment.
• Perform a variety of warehouse functions including stocking, shelving, filling requisitions and checking materials and supplies.
• Act in a lead capacity to oversee activities and projects as directed by the supervisor.
• Communicate with vendors and a variety of district personnel to schedule deliveries, discuss purchase orders and requisitions, track shipments, and resolve problems. Process shipping claims.
• Maintain a variety of records related to the receipt, return and inventory of stock and deliveries; accurately enter and retrieve information for purchase orders, receipts and issues into database; generate reports.
• Assist Accounting and Purchasing Department in identifying and resolving inconsistencies related to purchase orders, invoices, and other documents; investigate status of purchase order and advise appropriate departments of any delays or changes; analyze and take action to resolve shipment discrepancies.
• Assist in the development and implementation of warehouse standards and procedures; provide assistance in the planning, evaluation and organization of warehouse storage areas.
• Operate a forklift, delivery vehicle and a variety of hand tools to perform warehouse and delivery activities.
• Prepare orders for delivery; deliver and pick up various items including Board information packets, parcels, boxes, packages, and U.S. mail as needed at District sites and off-campus locations.
• Maintain a variety of records related to the receipt, return and inventory of warehouse stock.
SECONDARY FUNCTIONS:
• Assist in periodic physical inventory of warehouse stock.
• Assist campus mail rooms in the filing of postal insurance claims.
• Maintain the warehouse in a clean, safe and orderly condition; assure compliance with established safety procedures and regulations.
• Maintain currency of qualifications for area of assignment.
• Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
• Modern warehouse procedures.
• Use and terminology of requisitions, purchase orders, invoices and other warehouse documents.
• Health and safety regulations related to warehouse operations.
• Requirements pertaining to material safety data sheets.
• Proper methods of storing equipment, materials and supplies.
• Safe driving techniques.
ABILITY TO:
• Perform a variety of warehousing activities including stocking, shelving, filling requisitions and checking in supplies and materials.
• Deliver instructional materials, supplies and equipment to district facilities.
• Follow and apply the rules and regulations associated with U.S. mail and variety of shipping providers.
• Follow safe practices as prescribed by California OSHA regulations.
• Understand and follow oral and written directions.
• Operate a personal computer, including various software packages, used in assigned area to enter and retrieve data in an efficient and effective manner consistent with requirements of the position. Operate other standard office equipment (e.g., calculators, copiers, etc.)
• Meet schedules and timelines.
• Lift objects weighing up to 75 pounds.
• Establish and maintain cooperative and effective working relationships with others.
• Operate a forklift, delivery vehicles and a variety of hand tools to perform warehouse and delivery activities.
EDUCATION: Graduation from high school or equivalent.
EXPERIENCE: Experience in a warehouse or related area involving the receiving, storing, issuing and supplemented by delivery of supplies and materials.
LICENSES AND OTHER REQUIREMENTS: Valid California driver's license and ability to qualify for district vehicle insurance coverage and current Forklift Operator Certification.
WORKING CONDITIONS: Warehouse environment; work involves physical exertion in filling orders and unloading heavy supplies and equipment and driving to deliver materials or mail to district facilities.
