SANTA UNIFIED SCHOOL DISTRICT PAYROLL TECHNICIAN BASIC FUNCTION: Under the direction of the Manager of Payroll, perform the full range of payroll transactions such as appointments, reclassifications, promotions, changes in status, leaves, and separations for all categories of the District employees. REPRESENTATIVE DUTIES: Prepare assigned parts of the certificated, classified, and substitute payrolls for employees on traditional and year-round calendars; review negotiated agreements and determine proper payroll amounts and methods. E Meet deadlines; distribute checks and respond to questions regarding payroll amounts. E Code time cards, calculate payrolls and prepare for computer input; make changes to records which affect payroll amounts including raises, terminations, new hires and deductions. E Audit payroll registers for accuracy and post earnings records. E Verify employees’ notice of employment, change of status, and terminations for computer input and processing. E Calculate and maintain encumbrances and expenditures for salary accounts; calculate annual vacation and sick leave. E Work closely with school claims and retirement departments in the County Education Office; prepare payroll input data for County data processing and receive County print-outs. E Process, calculate and complete a diverse range of moderately complex transactions including intermittent, short term, full and part-time (regular), overtime, special consultant, shift differential, long term illness differential, compensatory time off, extensions, vacation, holiday, sick and bereavement pay; changes in pay status include appointments, promotions, reclassifications, retirements and separations. E Maintain permanent payroll records. E Provide relevant payroll information on such matters as earnings, vacation, sick days and deductions. E Process judgments, levies and garnishments on employees’ pay. E Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Fiscal practices and procesures. Office machines, filing systems, and computer equipment and software. Financial record-keeping procedures. District contracts with classified and certificated personnel as applicable to compensation, benefits, and personnel matters. Technical aspects of payroll transactions. School District organization, operations and objectives. Data entry and word processing techniques. ABILITY TO: Deal tactfully and effectively with employees and other regarding payroll. Explain a variety of procedures and policies to individuals who have a minimal knowledge of pay and personnel processes. Input and verify payroll data using a computer. Cooperate with other employees and maintain good relations. Deal tactfully and effectively with the public. Perform moderately complex payroll calculations. Meet schedules and time lines. Work confidentially with discretion. Trace and correct processing errors. Perform the essential functions of the job. EDUCATION AND EXPERIENCE: Any combination equivalent to graduation from high school including or supplemented by a course in bookkeeping or accounting and three years of progressively responsible financial record-keeping experience. WORKING CONDITIONS: ENVIRONMENT: Office environment. PHYSICAL ABILITIES: Hearing and speaking accurately to exchange information. Seeing to read a variety of materials. Sitting for extended periods of time. Dexterity of hands and fingers to operate a computer keyboard. Lifting or moving objects, normally not exceeding twenty (20) pounds.
