Position Description

The Data Coordinator will support our schools with their operating systems and processes to enable excellent teaching and learning. They will report to the Director of School Operations and will work closely with the RSO Data & Compliance team.

Responsibilities

Run school-site management of all student data

  • Serve as school-site primary contact for all questions and processes linked to our student information system, Illuminate
  • Create and maintain physical and electronic student records of enrollment
  • Assist with data entry (i.e., student demographics, contacts, programs, etc.) into Illuminate, and maintain the system as needed
    • Periodically audit student records for integrity in various areas, included but not limited to: demographics, programs, attendance, enrollment, language and special education details, and discipline records
  • Manage student enrollment and attendance data closely
    • Reconcile attendance daily
    • Notify leadership when attendance is not submitted by the specified time (e.g. 10AM) in the Attendance Policy; follow up with staff to resolve any issues
    • Report student withdrawals to the RSO immediately via the Notification to Superintendent Form and Student Withdrawal Form.
    • Run daily and monthly reports to ensure attendance is up-to-date
    • Run Monthly Verification Forms for teacher signature and verification
    • Collect and file all paper attendance rosters, signed Monthly Verification Forms for audits
  • Support Principal and teachers in production of progress reports and report cards, as requested
    • Run reports to ensure teachers have entered and saved grades at the end of the reporting period and provide reminders of upcoming deadlines
    • Run and print progress reports and report cards for distribution
  • Any other duties, as assigned

 

Progress and develop training related to student data

  • Be the primary contact for Illuminate training to school staff (i.e., teachers, principals, etc.) as needed in various areas, including but not limited to: taking attendance, grade entry, and behavior incidents
  • Identify recurring challenges that need new or revised systems and work collaboratively with the Regional Support Office data and compliance team to analyze the problem(s)
  • Contribute to the development of content for Illuminate training as requested by the Regional Support Office and attend training for professional development opportunities

 

Support annual data reporting processes

  • Assist, in a timely manner, the audit of school site data in preparation for the submission of various reports, including but not limited to: CALPADS, MiSiS, SARC, CRDC, LCAP, and attendance
  • Create and share reports from Illuminate with school site administration as needed
  • Attend the annual Illuminate conference in San Diego
  • Any other duties, as assigned

 

Support overall program compliance

  • Ensure proper handling and securing of student data to ensure compliance with Family Educational Records and Privacy Act (FERPA)
  • Assist in the preparation of the school’s end-of-year annual audits, and oversight by collecting and reviewing documentation
  • Assist in the preparation of the school’s site visits from local county offices of education
  • Assist in the completion and submission of school-specific reports required by the California Department of Education (CDE) and districts
  • Any other duties, as assigned

Qualifications

Systems Knowledge and Process Expectations

The Data Coordinator is expected to have a strong working knowledge (with training) of key student data systems and processes:

  • Illuminate Student Information (ISI) system
  • SchoolMint (student lottery and enrollment system)
  • California Longitudinal Pupil Achievement Data System (CALPADS)
  • Microsoft Excel
  • www.BOX.com

 

General Qualifications

  • Ability to build relationships with school administration, CWC LA school operation teams, and other key stakeholders with a focus on collaboration
  • Ability to manage and maintain positive relationships with parents
  • Outstanding attention to detail and willingness to get the job done
  • Ability to communicate and interact effectively with multiple stakeholders
  • Strong project management skills
  • Adaptabability and flexibility
  • A history of innovating and thinking creatively
  • Some experience working with data (strongly preferred)
  • Fluency in writing and speaking Spanish and/or Korean (strongly preferred)

 

Education/Training/Experience

  • Minimum of 2 years’ relevant work experience
  • Education experience preferred, but not required
  • Strong understanding of computer software programs including Microsoft Office (Word, Excel) and willing to learn new software programs (Illuminate, SchoolMint)
  • Possess knowledge of policies and procedures including, but not limited to, the recrutiment and enrollment of students in a public charter school (strongly preferred)
