Long Beach Community College is seeking a qualified individual for a current opportunity as an LTE (Limited Term Employee) Administrative Assistant to support the grants managed by the Career & Technical Education (CTE) department. This incumbent will need to have knowledge performing a variety of difficult, specialized, and responsible office and administrative support functions for a department or manager requiring detailed knowledge of District and department rules, policies, and procedures.

 

The desired qualifications of this position include experience with entering a large volume of requisitions in PeopleSoft Finance, confirming invoices in Laserfiche, entering requisitions in NeoGov, running reports in PeopleSoft Finance, following up with vendors on deliveries and invoices, processing travel requests, stipends, and revolving cash forms, entering facilities work orders and ABS forms, scheduling meetings for the department, taking notes, obtaining supporting documents for requisitions, and recording PTO in TARS. We are looking for someone who has obtained graduation from high school or GED equivalency. Additionally, four years of increasingly responsible administrative support or secretarial experience; or an equivalent combination of training and experience. The ideal candidate also has experience using advanced word processing, spreadsheet, and graphics skills in the development of technical documents and presentation materials.

Duties

 

JOB DESCRIPTION

 

Under general supervision, performs difficult office and administrative support duties; types technical documents and reports; and performs related duties as assigned.

 

DISTINGUISHING CHARACTERISTICS

 

Administrative Assistant is responsible for independently performing a wide variety of difficult, specialized and responsible office and administrative support functions for a department or manager requiring detailed knowledge of District and department rules, policies and procedures. Incumbents use advanced word processing, spreadsheet and graphics skills in the development of technical documents and presentation materials. They may provide general office administrative support services and provide backup to other office clerical and administrative staff. They may provide administrative and secretarial support services for a manager or department staff. Assigned work requires the use of initiative and judgment in selecting appropriate work methods, understanding and applying complicated information requiring a high degree of accuracy and interacting with and handling routine to non-routine questions, complaints and problems based on knowledge gained through experience.

 

Administrative Assistant is distinguished from Senior Administrative Assistant in that an incumbent in the latter class performs a variety of difficult, responsible, sensitive and confidential office administrative and secretarial support functions for a Dean, Director or manager at that level.

Qualifications

 

MINIMUM QUALIFICATIONS FOR THIS POSITION:

 

Education, Training and Experience:

 

A typical way of obtaining the knowledge, skills and abilities outlined above is graduation from high school or G.E.D. equivalent; and four years of increasingly responsible administrative support or secretarial experience; or an equivalent combination of training and experience.

 

Licenses; Certificates; Special Requirements:

A valid California driver's license and the ability to maintain insurability under the District's vehicle insurance policy.

 

Meeting the minimum requirements of the position does not guarantee advancement in the selection process. Candidate qualifications will be assessed to determine those who meet and exceed requirements, and are deemed most competitive amongst the applicant pool to proceed.
