CLASS TITLE: SCHOOL OFFICE COORDINATOR II
BASIC FUNCTION
Under direction of the school Principal, plan, organize, coordinate and oversee day-to-day school office activities; establish priorities and organize work flow and communication between the Principal and staff; District offices; parents and others. Maintain complex records and files related to staff payroll, equipment inventory and budget; train and provide lead work direction to office staff as assigned.
DISTINGUISHING CHARACTERISTICS
School Office Coordinator II positions perform secretarial and office coordination duties at a middle or K-8 school which typically have large student populations and complex, diverse programs and processes. The School Office Coordinator I positions are assigned to an elementary school or a continuation high school and is responsible for coordinating and scheduling the work in the school office.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Incumbents in the classification may not perform all of these tasks or may perform similar related tasks not listed here.
- Plan, organize, coordinate and manage school office activities and communications. (E1)
- Prepare, type and proofread a wide variety of materials including correspondence, bulletins, reports, memoranda and other materials. (E1)
- Provide work direction and training to assigned clerical staff and student workers. (E1)
- Monitor and maintain school budget and financial records; prepare and process requisitions and purchase orders; order office supplies and report equipment malfunctions; maintain accurate records related to equipment inventory. (E2)
- Perform secretarial duties for the Principal, including taking and transcribing dictation; organize, coordinate and facilitate communications for the Principal. (E2)
- Prepare, facilitate and track payroll/timecard submissions for site employees.(E2)
- Maintain Principal's calendar, scheduling meetings and conferences. (E3)
- Operate a two-way radio. (E3)
- Assist the Principal to establish priorities and assure the timely and procedurally correct completion of administrative work and special projects such as graduation.
- Interpret, apply and explain school and District policies, rules and regulations.
- Orient substitutes and provide keys, instructions and teaching materials as appropriate; retain substitutes or arrange period subs as needed.
- Perform related duties as assigned.
MINIMUM QUALIFICATIONS:
The requirements listed below are representative of knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
EDUCATION AND EXPERIENCE:
A. Graduation from High School or equivalent.
B. Business training and three (3) years of responsible secretarial or office management experience.
Or
Any combination of education, training, and/or experience which demonstrates the ability to perform the essential duties may be substituted for the required experience and/or education.
LICENSES AND OTHER REQUIREMENTS:
- A certificate stating freedom from Tuberculosis.
- A valid California Drivers License preferred.
- Valid CPR Certification preferred.
- Valid First Aid Certification.
KNOWLEDGE OF:
- Correct English usage, spelling, grammar and composition.
- Financial and statistical record-keeping skills.
- Operation of business and office machines.
- School office management techniques.
ABILITY TO:
- Communicate effectively verbally and in writing.
- Interpret, apply and explain rules, regulations and policies.
- Maintain complex records and monitor budget accounts.
- Perform office management duties at a middle or K-8 school.
- Plan and organize work.
- Take and transcribe dictation at an acceptable rate of speed.
- Train and provide work direction to others.
- Type/keyboard 50 words per minute net.
- Maintain effective working relationships with other people.
- Operate a PC and related software.
- Operate a two-way radio.
PHYSICAL ABILITIES
- Dexterity of hands and fingers to operate a computer keyboard.
- Hearing and speaking to exchange information.
- Lift or move up to 35 pounds.
- Operating a computer keyboard for extended periods of time.
- Seeing to read and compose written materials.
- Standing for extended periods of time.
ENVIRONMENT:
- Occasionally exposed to outside weather conditions
- Occasionally works evenings or on weekends.
- School office environment.
- Subject to demanding time lines and constant interruptions.
- Uses a vehicle and occasionally works in evenings or on weekends.
HAZARDS:
- Extended viewing of computer monitor.
- Sitting for an extended period of time.
