Job Summary
We are looking for an Office Manager to work at our San Diego clinic. This opportunity is full-time at 40 hours per week. Our Office Managers provide administrative support to program directors, managers, coordinators, and support staff. This will include both front and back-office duties such as general reception, welcoming clients and staff, providing correspondence via phone and email, and maintaining clinic schedules and calendars.
Requirements / Qualifications
As an Office Manager at TES, you will: Finds and implements solutions to project management routines; assumes responsibility and can exercise initiative. Creates and updates IEP Progress Reports, Report Cards, Transcripts, and Programs forms independently. Assists and supports Program Director with special projects, mailings and ordering of curriculum supplies for the program. Supervise administrative assistant(s), school office assistant/clerk and receptionist. Assures cost comparisons of competitive prices and educational discounts and being considered when ordering supplies and charging appropriate departments. Medical billing and end-of-the-month procedures and protocols. Knowledge of insurance Maintains mandatory records, applications, and other compliance materials for LEAs and CDE. Engages with parents, guardians, related service professionals and others to partner and collaborate to meet the needs of the program, staff, study and families. Google Sweet and Microsoft Performs all other duties as assigned
As an Office Manager at TES, you will: • Find and implement solutions to project management routines; assumes responsibility and can exercise initiative. • Assist and support Program Director with special projects, mailings and ordering of supplies for the clinic. • Supervise administrative specialist(s), • Collaborate with medical billing and end-of-the-month procedures and protocols. • Bill Regional Center services bi-monthly or monthly and manage Regional Center aging. • Audit payroll and meet payroll timelines bi-monthly. • Keep organized records of referrals from Regional Center and Insurance • Collect co-pays • Maintain mandatory records, and other compliance materials for schools and CDE. • Engage with parents, guardians, related service professionals and others to partner and collaborate to meet the needs of the program, staff, study and families. • Utilize a variety of online systems including Paycom, Google Drive, Microsoft, etc. • Performs all other duties as assigned

You will need the following minimum qualifications to be considered:
• High School Diploma with additional years of experience (at least 3-4)
• bilingual in English/Spanish
• proficient in the use of modern technology and office equipment
• preference is given to candidates with special education experience.
• hold appropriate automobile insurance with limits that allow driving a personal vehicle for work (25/50k liability coverage)
• must clear a current background check through the FBI and DOJ
• a current TB Test (within the last 6 months)
Preferred qualifications include:
• Associate Degree or above
• 1-2 years of office related experience
• experience in managing, directing or delegating duties or tasks.
• project management or other systems management experiences.
• strong skills in multi-tasking, crisis/complexity triage, and task prioritization.
• strong interpersonal skills and service mentality.
