DESCRIPTION:
Under general supervision, to serve as secretary to an Assistant Superintendent, relieving him/her of administrative and clerical detail; to perform independently very complex and highly responsible clerical work related to the day-to-day operations of the District; and to do related work as required.
EXAMPLES OF DUTIES:
Receives and transcribes confidential dictation; prepares correspondence independently or from oral instructions; maintains confidential files; receives visitors, screens telephone calls; schedules appointments; supplies information and receives complaints, taking action if possible or referring to the proper person; participates in the improvement and reorganization of work procedures and assignments resulting from changes in workload or policy; independently gathers, compiles and prepares statistical data and various District reports as required; assists in the preparation of confidential material for the Board of Education and other District meetings; independently prepares correspondence as a result of Board action; develops and maintains computer data bases and spreadsheets; produces publication quality documents and materials utilizing computer generated lay-outs and graphic designs; independently maintains a variety of budgets from local, state and federal sources; and performs other related duties as assigned.
QUALIFICATIONS:
Knowledge of:
- Current school district policies, rules and regulations;
- Modern office methods, practices and procedures;
- English usage, spelling, grammar and punctuation;
- Current computer based word-processing, database and spreadsheet software programs.
AND
Ability to:
- Perform difficult and responsible clerical work and make arithmetical calculations with speed and accuracy with little or no supervision;
- Learn, interpret and apply school district policies, laws, rules and regulations;
- Compose correspondence independently;
- Take dictation at a speed of 110 words a minute and transcribe accurately, or be able to transcribe accurately from machine recordings at a comparable speed;
- Type at a speed of 60 WPM from clear copy;
- Compose and develop publication quality documents utilizing computer based software programs for word-processing, layout and graphic design;
- Maintain fiscal and office records utilizing computer database and spreadsheet programs;
- Manage a variety of local, state and federal program budgets;
- Deal effectively with a wide variety of personalities and situations requiring tact,judgment and poise.
- Prepare confidential documents and reports for the Board of Education
AND
Training and experience:
- Any combination of training and experience which would provide the required knowledge and abilities is qualifying. A typical way to obtain such knowledge and abilities would be: Four years of increasingly responsible stenographic or secretarial experience, preferably supplemented by advanced training in computer software programs, and preferably with broad experience in a school district or an Associate of Arts degree from an accredited institution or the equivalent of such training and coursework from an accredited business college.
Physical Abilities:
Requires sufficient hand/eye coordination and manual dexterity to use a computer keyboard. Requires prolonged typing and data entry. Requires frequent sitting. Requires sufficient visual acuity to read words, letters and numbers. Requires auditory and speaking ability to carry on conversations over the phone and in person. Requires the ability to bend, stoop, squat and reach above/below shoulder level to pull materials from files and shelves. Frequently lifts and carries up to 10 pounds; regularly lifts and carries up to 50 pounds.

During this time, an eligible (non-probationary) Administrative Secretary III may complete a Transfer Request Form or the EdJoin application to request a transfer into this position. Unit members who demonstrate that they possess the minimum qualifications for the position and who apply in a timely manner shall be granted an interview. During the interview process, current employees will be given the opportunity to be interviewed first and granted a twenty percent (20%) advantage in the interview scoring system.
