BASIC FUNCTION:
Under the direction of an assigned supervisor, to provide secretarial support at the district office or school site; communicate information and direction to staff and the public as may be requested.
REPRESENTATIVE DUTIES:
Perform varied and complex secretarial tasks related to the office to which assigned.
Plan, organize and coordinate office activities.
Greet visitors, provide information and direction.
Coordinate communications between supervisor and other District staff.
Oversee the workflow and assignments of office support staff.
Schedule meetings, reserve conference, hotel and travel arrangements.
Provide information for meetings, projects and workshops.
Generate statistical and financial information for various State and District reports.
Type correspondence, agendas, and minutes.
Proofread reports and other materials for accuracy and completeness.
Prepare and maintain various records, files and schedules and logs.
Maintain budgets and other financial records.
Answer incoming telephone calls; provide information and transfer calls as appropriate; receive and relay messages.
Operate a variety of office equipment including a dictating machine and a computer to input and retrieve information.
Maintain bulletin board; post meeting notices, job announcements and other items.
Receive, sort and distribute incoming and outgoing mail.

INITIAL/MINIMUM QUALIFICATIONS:
• Graduation from High School or equivalent
• Two (2) years increasingly responsible secretarial experience. Course work in secretarial science is desirable.
• Type at a speed of not less than 40 words per minute. A typing test will not be given. Demonstrated proficiency will be expected during the probationary period for this classification.
