Requirements / Qualifications
Experience: 1. Experience in a school office setting. 2. Knowledge of office methods, procedures and office equipment, including filing system, reception and telephone techniques, business forms, letter and report writing. 3. Knowledge of correct English and Spanish usage, spelling, grammar and punctuation. Required Qualifications: 1. High School Diploma or equivalent, preferably including courses in typing and office methods. 2. Proficient with computers and computer programs, i.e. Microsoft programs, AERIES, QSS. 3. Ability to pass the District proficiency test(s). 4. Bilingual Spanish.
Responsibilities and Duties: 1. Serves as personal secretary to the administrator including the scheduling of appointments and calendar maintenance; office receptionist. 2. Receives and handles telephone and personal contacts from schools, staff, students, other agencies and the public. Takes and refers messages for the administrator and staff. 3. Types from oral direction, rough draft, copy or notes, a variety of materials. Prepares reports, memos letters, requisitions, etc. as directed by the principal. 4. Prepare purchase orders and maintain inventory of office supplies, equipment and materials. 5. Performs responsible clerical work with accuracy and speed. 6. Learn specific rules, laws and policies quickly and to apply them with good judgment in a variety of procedural situations. 7. Make arithmetical calculations quickly and accurately. 8. Compile and maintain accurate and complete records and reports; understand and carry out oral and written directions. 9. Meet the public tactfully and courteously; to establish and maintain cooperative and effective working relationship with children and adults. 10. Type accurately from clear copy at a rate of 45 words per minute. 11. Call substitute staff and maintains substitute records, completes weekly employee attendance report. 12. Gives information to the public regarding school matters over the counter and by telephone. 13. Work effectively under stressful situations. 14. Administers minor first aid to pupils in the absence of the school nurse. 15. Support communication within the school and community at the direction of the administrator. 16. Assists in composing and distributing bulletins and schedules.
