JOB DESCRIPTION Grossmont Union High School District SCHOOL FINANCE TECHNICIAN Purpose Statement: The job of School Finance Technician is done for the purpose/s of providing an array of fiscal services for the associated student body budget accounts and trust fund accounts for an assigned high school; conveying and updating fiscal information; and ensuring that fiscal practices are followed and disbursement of funds are within proper and legal guidelines. Incumbents in this classification provide students and staff with materials and services which in turn directly supports learning. This job reports to Principal or Designee Essential Functions • Analyzes expenditures against ASB budget accounts and trust funds for the purpose of determining feasibility of service within budget parameters, making recommendations and/or maximizing use of funds. • Collects funds from student events (e.g. donations, ASB cards, yearbooks, PSAT tests, dance bids, various sports activities, AP tests, PE clothing, etc.) for the purpose of ensuring the accuracy and timely completion of transactions. • Collects, verifies and prepares ash deposits from school activities for the purpose of making bank deposits. • Coordinates development of reports (e.g. fund raisers, sales tax, bus token records, inventory, etc.) for the purpose of meeting deadlines and complying with mandated requirements. • Coordinates the distribution of graduation caps and gowns for the purpose of ensuring the availability of items as needed. • Maintains a variety of fiscal information, files and records (e.g. accounts payable, accounts receivable, student activities, athletic clearances, fines, etc.) for the purpose of providing an up-to-date reference and audit trail for compliance. • Monitors account balances and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and/or fiscal practices are followed. • Oversees student assistants, aides, etc. for the purpose of providing guidance in with their job functions. • Prepares written materials (e.g. reports, memos, letters, bank deposits, physical exam packets, income-expense statements, etc.) for the purpose of documenting activities, providing written reference and/or conveying information. • Processes a variety of fiscal information for the purpose of updating information and/or authorizing final action in compliance with accounting requirements. • Reconciles account balances for the purpose of maintaining accurate account balances and complying with related policies, practices and/or regulations. • Researches discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures prior to processing for action. • Responds to inquires for the purpose of providing information and/or direction. Other Functions • Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment. Job Requirements: Minimum Qualifications SKILLS are required to perform multiple, highly complex, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment; performing accounting procedures; preparing and maintaining accurate records; and using pertinent software applications. KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: ASB accounting; methods, practices and terminology used in manual and automated bookkeeping and financial record keeping; and pertinent software applications. ABILITY is required to schedule activities and/or meetings; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; meeting deadlines and schedules; setting priorities; working as part of a team; working with minimal supervision; working with constant interruptions; and working with detailed information/data. Responsibility Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; and tracking budget expenditures. Working Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 85% sitting, 10% walking, and 5% standing. This job is performed in a generally clean and healthy environment. Experience Job related experience is required.
