BOOKKEEPER I – HIGH SCHOOL



THE POSITION

Under general supervision, performs complex clerical accounting work primarily involving the maintenance of financial or statistical records; and performs related work as required.

RESPONSIBLE TO: Fiscal Services Administrator

DISTINGUISHING CHARACTERISTICS

Positions in this class receive general supervision from an administrator and are normally assigned the more complex record keeping duties and responsibility for a relatively complex but homogenous set of financial records. Procedures are generally established and are regulated by law and administrative requirements; problems encountered demand good judgement and adaptability on the part of incumbents. A variety of general clerical duties may also be assigned.

EXAMPLES OF DUTIES

The duties listed are typical, but not exclusive:
• Independently maintain a set of financial records, such as student accounts, cafeteria accounts, etc.
• Receives financial documents, screens for accuracy and adherence to legal and procedural requirements.
• Makes computations of financial data, applying standard formulas and using predetermined guidelines.
• Receives money and maintains record of receipts.
• Accounts for cash collections and maintains disbursement records.
• Prepares and deposits receipts to appropriate accounts.
• Prepares and makes reports of various accounts as required.
• Maintains records for Internal Revenue Service regarding payments in wages for services rendered and paid from specific funds.
• Reports on and submits sales taxes received.
• Orders, receives and checks merchandise according to District guidelines.
• Operates various office machines, including the typewriter, calculator, computer and computer terminal.
• Performs related work as required.
• Participates in District inservice programs as required.

QUALIFICATIONS GUIDE

Knowledge of:
• Correct English usage, grammar, spelling, punctuation and math.
• Basic bookkeeping and accounting principles.
• Bookkeeping, purchasing and accounting terminology.
• Standard office equipment used in accounting/bookkeeping work.
• Modern office methods, practices and procedures.
• Business math, ledger, statistical and record keeping procedures.

Ability to:
• Learn account codes, rules, regulations and technical procedures.
• Perform general clerical work and make arithmetical calculations with speed and accuracy.
• Operate a computer and related bookkeeping software.
• Operate standard office and business equipment.
• Learn new procedures and equipment operation.
• Understand and carry out oral and written instructions, policies and procedures.
• Maintain cooperative relationships with those contacted in the course of work.
• Receive and give information over the telephone or in person in a courteous manner.
• Establish and maintain a variety of financial record keeping systems and to prepare related statements and reports.
• Work and communicate effectively with district and school staff and the public.

Training and Experience:

Personal Qualities:
• Maturity and good judgment; clerical aptitude; willingness to learn new procedures; pleasing office personality.

Skills:
• Typing 40 words per minute.
• Use of computer, calculator and/or adding machine operation.
• Skill in operation of County “Galaxy” bookkeeping system.
