CLASS TITLE:   STUDENT INFORMATION COORDINATOR 

 

BASIC FUNCTION:

Under the direction of a Site Administrator or an assigned supervisor, serve as the Student Information Coordinator in the creation, upgrading and maintenance of student records related to registration, enrollment, attendance, scheduling and grades of students at a comprehensive High School or District Office; manage and support data systems associated with all aspects of student information and record systems; assist in technical preparation for the Master Schedule; provide guidance or assistance in department or site programs and projects.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:  Incumbents in the classification may not perform all of these tasks or may perform similar related tasks not listed here.

 

  • Plan, organize, coordinate and maintain automated student information systems containing a variety of data related to registration, enrollment, scheduling, attendance, grades and scholarships at a comprehensive high school or district office. (E1)
  • Assist in preparing the Master Schedule; establish dates and schedules for grading, academic warnings and registration. (E1)
  • Enter course number, teacher, period, semester, location, units, department and maximum number of students. (E1)
  • Provide information and assistance regarding data concerning college entrance tests, applications, scholarships and financial aid. (E1)
  • Operate a computer terminal, microcomputer, typewriter, copier and other office machines. (E1)
  • Compose, send and distribute letters, memoranda, news releases, bulletins and other written materials; prepare reports and special projects as required. (E1)
  • Perform technical and responsible clerical duties related to awarding and securing college scholarships. (E2)
  • Maintain records related to graduation requirements and assist counselors and other staff in evaluating transcripts and enrolling new students. (E2)
  • Communicate with parents, students, teachers, counselors and administrators regarding grading policies, record-keeping requirements and scheduling. (E2)
  • Perform technical or statistical studies of Site or District needs. (E2)
  • Analyze data and prepare technical or statistical reports. (E2)
  • Compile, coordinate, prepare and revise handbooks and other resource documents. (E3)
  • Frequently work independently to complete varied assignments. (E3)
  • Train and provide work direction to student aides. (E3)
  • Perform related duties as assigned.

 

MINIMUM QUALIFICATIONS

The requirements listed below are representative of knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.

 

EDUCATION AND EXPERIENCE:

 

A.            Graduation from High School or equivalent.  Associates Degree Preferred.

 

B.            Supplemental coursework, which may include workshops or seminars on computer applications or business and three (3) years of increasing responsibility with automated record-keeping.

                Or

                                Any combination of education, training, and/or experience which demonstrates the ability to perform the essential duties may be substituted for the required experience and/or education.

 


LICENSES AND OTHER REQUIREMENTS:

  • A certificate stating freedom from Tuberculosis.
  • A valid California Drivers License preferred
  • Valid First Aid Certification preferred.
  • Valid CPR Certification preferred.

 

KNOWLEDGE OF:

  • Automated student information systems and programs.
  • Computer applications, including but not limited to Database, Spreadsheet and Word Processing.
  • Secondary school organization, district operations, policies and procedures.
  • Legal requirements and regulations pertaining to student records.
  • Modern office practices, procedures and equipment.
  • Oral and written communication skills.
  • Interpersonal skills including tact, patience and courtesy.
  • Correct English usage, spelling and punctuation.

 

ABILITY TO:

  • Assure the timely processing and maintenance of computerized student records and data.
  • Assist in establishing and developing the Master Schedule.
  • Operate a computer terminal to enter, update and maintain student information.
  • Type/keyboard 40 words per minute net.
  • Interpret, apply and explain rules, regulations and requirements.
  • Review data for completeness and accuracy and resolve difficult problems.
  • Maintain confidentiality of sensitive information.
  • Prepare recommendations based on statistical findings and field observations.
  • Prepare and edit reports and other materials
  • Establish and maintain effective and cooperate working relationships with others.
  • Effectively analyze situations, identify problems and develop and implement constructive solutions.
  • Work effectively and efficiently with constant interruptions.
  • Multi-task and prioritize job responsibilities
  • Meet schedules and time lines.
  • Communicate effectively orally and in writing.
  • Compose written materials.
