Job Summary

Advancement at San Joaquin Memorial High School seeks to forge stronger partnerships and deeper relationships between the institution and all of its stakeholders—students, faculty, alumni, parents, community partners, media, parishes, feeder schools, foundations, business partners, and friends. The Advancement function also encompasses traditional resource development as well as other mission-critical functions and processes necessary to effectively compete for students, faculty, philanthropic money, and volunteer leadership. The focus of all activities must be consistent with the Mission and Vision of the school. ESSENTIAL JOB FUNCTIONS: 1. Timely and accurate data and gift entry and gift acknowledgments. 2. Timely and accurate bank deposits of charitable gifts to the Advancement Office. 3. Works closely with and provide school services to key support groups such as the Parent Guild, Boosters, and event committees, representing the school if necessary. 4. Organize and manage the Advancement Office so that the necessary amount of preparation is given to the quality completion of activities and events (mailings, fundraising events, etc.) 5. Oversee the timely and accurate distribution of school Advancement Office information (mailings, appeals, marketing communications). 6. Prepare an accurate report of each fundraiser, showing income and expenses. 7. Complete special research projects in support of major, planned, and foundation giving initiatives. 8. Train and manage Advancement Office staff and/or volunteers to perform data entry duties or other Advancement duties as necessary. 9. Order and maintain sufficient supplies and materials to operate the Advancement Office. 10. Ensure compliance, in cooperation with the Business Manager, with accounting policies and procedures related to the donor information system. 11. Contact donors, as necessary, regarding proper gift processing or to communicate pertinent school information.

Requirements / Qualifications

SKILLS/EXPERIENCE: - Two years of experience in an Advancement Office or equivalent environment preferred - Experience with constituent record management software or financial database - Highly detail-oriented with a critical degree of accuracy regarding data entry and analysis - Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines - Ability to understand and follow directions regarding complex policies and procedures - Exhibits a professional demeanor and maintains confidentiality of data - Works well as a team member and independently - Strong knowledge of Microsoft Office applications required MATERIALS: Please submit a cover letter, resume, and three professional references.
