DEFINITION
Under general supervision, to perform and coordinate varied and responsible secretarial and clerical functions; to relieve a school principal of clerical and routine administrative detail; and to do other related work as required.
EXAMPLES OF DUTIES
1. Acts as a personal secretary to a school principal;
2. Maintains student records, including registration, entering data, test scores and grades, and release and transfer documents;
3. Maintains student attendance records;
4. Prepares a summary of student attendance reports;
5. Maintains personnel time reports and attendance records;
6. Receives visitors and makes appointments for the school principal and other school personnel;
7. Responds to inquiries by providing information regarding District policies, rules and regulations, and operational procedures;
8. Accepts and transmits messages as appropriate;
9. Prepares a wide variety of communication materials, such as correspondence, reports and memoranda from notes or brief verbal instructions;
10. Occasionally prepares and forwards independently composed correspondence and memoranda;
11. Types letters, bulletins, schedules, requisitions, and other related materials;
12. Requisitions, receives, inspects, issues, and stores supplies and educational material;
13. Receives, sorts and routes incoming mail;
14. Establishes and maintains numerical, alphabetical and subject matter files;
15. Coordinates and provides direction to other clerical staff;
16. Performs other related duties as assigned.
QUALIFICATIONS
Knowledge of:
Modern office practices and procedures, including the preparation of business correspondence, filing and the operation of standard office equipment;
Word processing, spreadsheet and data management applications;
Correct English usage, spelling, grammar, punctuation, and vocabulary.
Ability to:
Perform responsible secretarial and clerical functions;
Compose routine correspondence with minimal direction;
Deal effectively with situations requiring diplomacy, tact, and discretion, and maintain confidentiality of work;
Make arithmetical calculations with speed and accuracy;
Compile and maintain accurate records and prepare clear and concise reports;
Type at a net corrected speed of 55 words per minute;
Understand and carry out oral and written directions;
Complete work with many interruptions and work independently with little direction;
Establish and maintain effective and cooperative working relationships with school
personnel, students and the general school community;
Routinely and correctly lift and carry weights up to, but not to exceed 35 pounds.
Experience:
Two years of responsible clerical experience;
At least one year of service involving school age children.
Education:
High school diploma or equivalent
