CLASS TITLE: TRANSPORTATION SERVICES SECRETARY
BASIC FUNCTION:
Under the direction of the Transportation Supervisor, prioritize, schedule and perform a variety of secretarial, clerical and accounting-related duties in support of the Transportation Department; organize office functions and coordinate the flow of communications.
REPRESENTATIVE DUTIES:
ESSENTIAL DUTIES:
Perform a broad range of secretarial duties and assist supervisors with a variety of clerical, technical and routine administrative duties; facilitate communications between the supervisor and other District personnel.
Participate in various accounting related activities including accounts payable, accounts receivable, bus fleet and field trip accounting; receive, compile and post data according to established procedures.
Receive data relating to bus routes and student passengers from supervisor and bus drivers; organize data and input into computer spreadsheet program; create bus schedules/rosters and provide to District personnel; modify and update routes and rosters as needed.
Assist parents, staff and students with questions relating to bus schedules, passengers, policies and procedures.
Compose correspondence independently or from oral or written instructions; prepare, duplicate and mail information and materials to parents, administrators or other appropriate personnel.
Operate computer equipment for the preparation and maintenance of a variety of documents, correspondence, reports and related materials.
Collect and compile statistical and financial data and other information for inclusion into special and periodic reports.
Communicate information in person or by telephone; coordinate activities for assigned office between the supervisor and staff, the public or other District officials.
Receive, open and distribute mail; receive visitors and answer telephone calls and refer to appropriate staff members.
Arrange and schedule a variety of meetings and conferences.
Operate a computer and a variety of standard office equipment.
Order and maintain office supplies and other materials; maintain current account balances.
OTHER DUTIES:
Receive and transmit two-way radio messages to/from bus drivers and supervisor.
Assist in monitoring budget expenditures and maintaining financial records.
Perform related duties as assigned.

EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from high school and three years of responsible clerical experience.
