RECORDS CLERK
Overview: Under the direction of the principal, the Records Clerk performs a wide variety of general clerical duties and responsibilities in support of an assigned office or school site.
Recommended Qualifications:
- Minimum of two years experience in a related field, ideally in a school setting
Familiarity with district school records management software
- High school diploma or equivalent
- Knowledge to perform basic math including fractions, percents, and ratios; to read procedures, write complex sentences and speak distinctly; to apply common sense understanding of detailed multi-step instructions
- Candidate must seek responsibility, be highly motivated to produce a large amount of work with great accuracy, and is expected to demonstrate initiative.
- Successfully work and complete assignments and duties with a minimum amount of supervision, and demonstrate flexibility and adaptation
- Maintain a cooperating working relationship with the public, students, and co-workers
- Ability to evaluate situations
- Work under time constraints
- Knowledge of modern office procedures
- Knowledge of student registration
- Ability to perform clerical work with speed and accuracy
- Operate standard office equipment
- Communicate effectively, both orally and in writing
Central Performance Responsibilities:
- Registers students
- Verifies credits earned to fulfill graduation requirements
- Comply with and check attendance reports
- Maintains student cums as well as review and process incoming cums upon request
- Sends student transcripts and cums upon request
- Informs administrator and/or counselor of possible student credit deficiencies and or unusual placements for the purpose of ensuring student success
- Prints end of year transcripts for verification
- Prepares documents for the purpose of documenting activities/providing written reference and/or conveying information
- Oversees work assignments of others for the purpose of providing orientation to their job assignments
- Assists counselors and administrators as required to support the completion of student enrollment, course scheduling, and records management activities
- Processes requests from students, other districts, colleges/universities and/or employment agencies for the purpose of providing requested information
- Responds to inquiries of staff, other educational institutions, the public, parents, and/or students for the purpose of providing information and/or direction efficiently and politely
- Serves as a resource for employees and/or organizations for the purpose of interpreting and conveying appropriate procedures required for site and/or district operations
- Process work permits
- Work closely with administration regarding student absences, truancies, and home hospice/independent study
- Inventory and maintain attendance accounting procedures, including both printed and digital aspects
- Performs within the guidelines established in the district customer service model
- Performs other duties as assigned
Essential Job Functions:
- Visual ability to read handwritten or typed documents and the display screen of various office equipment and machines
- Able to operate office machines and equipment in a safe and effective manner
- Able to demonstrate the manual dexterity necessary to operate a calculator, typewriter and/or keyboard
- Able to conduct verbal conversation
- Able to hear normal range verbal conversation
- Able to sit, stand, stoop, kneel, bend, and walk
- Able to sit for sustained periods of time
- Able to climb slopes, stairs, steps, ramps, and ladders
- Able to lift up to 25 pounds

Shoulder external rotation and internal rotation

Other Requirements:
- Criminal Justice fingerprint clearance
- Tuberculosis screening
- Current driver's license
- Passing of job-related proficiency test
Salary: Range 25
Work Year: 11 Months
