Job Description / Essential Elements:    Print   

Definition:

Under the supervision of the Administrator of Personnel Services, the Personnel Clerk will perform technical clerical duties related to the recruitment, employment, and placement of certificated and classified personnel.

 Essential Duties:

  • Distribute, receive, record, and maintain files on classified/certificated job applications, fingerprints, examinations, and other related information
  • Assist in providing orientation to new classified/certificated employees, and provides assistance and information concerning the fringe benefit program, salary placement, and district policies
  • Compose and word process letters, memoranda, lists, and other correspondence related to the employment of classified personnel
  • Proctors examinations including: checking candidate identification, distributing exam material, instructing and monitoring job candidates to ensure testing security and instructions are being followed, collecting and accounting for test booklets and materials used in the examination
  • Assists in the preparation of personnel items to be submitted to the Board of Education
  • Receives substitute requests and assigns personnel to vacancies according to established procedures
  • Participates in the employee recruitment process, including preparing vacancy announcements, media advertisements, and brochures
  • Provides information to classified job candidates and to the public regarding employment procedures, examination, selection, and classification of employees
  • Receives, reviews, and processes certificated job applications
  • Assists in reviewing and processing applications for certification waivers, permits and credentials
  • Assists the department in monitoring employee waiver, permit and credential renewal requirements
  • Performs related duties as assigned

 Knowledge and Abilities:

Knowledge of:

  • Efficient office practices, methods, and procedures
  • Appropriate use of grammar, spelling, and punctuation in the preparation of correspondence and documents
  • Procedures and policies, regulations, and requirements regarding employment
  • California Education Code, labor laws and collective bargaining agreements
  • Word processing and spreadsheet software

 Ability to:

  • Develop, modify, and implement computer programs used in the collection and processing of data related to personnel
  • Enter correct information on reports and documents
  • Perform a variety of tasks, often changing from one duty to another of a different nature without loss of efficiency and composure
  • Show thoroughness in adhering to processes and procedures
  • Work with administrators, central office, and school personnel in a friendly, supportive manner

 Physical Conditions:

Essential and marginal functions may require maintaining physical condition necessary for standing or sitting for prolonged periods of time; utilizing a computer keyboard; hearing and speaking to exchange information; vision sufficient to read small print and numerical figures.

 Experience and Education:

One year of clerical experience in a public school organization.  One year of work in a personnel office.   Education equivalent to the successful completion of the twelfth grade, including courses or training in office practices and record management.  Possession of an Associate of Arts degree or enrollment in an educational program leading to an Associate of Arts is preferable.

Work Schedule and Salary Range:

The Personnel Clerk is an 8.0 hours per day, twelve month employee.  The Clerk position is listed in the Confidential Salary Schedule.  The salary range is 001.
