MOUNTAIN VIEW - LOS ALTOS UNION HIGH SCHOOL DISTRICT 1299 BRYANT AVE. MOUNTAIN VIEW, CA 94040 CLASS TITLE: SCHOOL BOOKKEEPER BASIC FUNCTION: Under the direction of an Administrator, perform a variety of responsible duties related to student body accounts and student activities; prepare and maintain financial records, reports and statements; communicate with students, staff, administrators, vendors and others. REPRESENTATIVE DUTIES: Perform a variety of technical accounting duties to assure the sound fiscal management of student body funds; maintain ledgers, receipt books, records and related documentation in accordance with State regulations and District policies. Maintain separate ledgers for each account such as ASB and various student clubs; prepare regular financial reports for each account; close ledgers periodically and prepare for independent audit. Maintain financial records for student body activities, clubs and the Associated Student Body; receive, verify, record, and deposit ASB monies and co-curricular fees to the appropriate account. Communicate with students, administrators, District personnel, vendors, suppliers, bank personnel, club sponsors and others concerning student activities and ASB accounts; provide information and explain financial policies, procedures and transactions. Prepare monthly financial statements and special statistical reports including trial balances, balance sheet, statement of income and expenses. Participate as requested in the preparation and control of the ASB budget. Collect and account for lab and class fees; maintain records related to lost and damaged books and other student financial obligations. Make bank deposits and reconcile bank statements in a timely fashion; receive monies for special events and assure proper accounting. SCHOOL BOOKKEEPER PAGE TWO Prepare and process purchase orders, assuring appropriate authorization and compliance with established procedures. Set up cash boxes, ticket sales and change funds as needed for athletic and special events; schedule security, ticket salespersons and other personnel as required. Perform related duties as assigned. KNOWLEDGE AND ABILITIES KNOWLEDGE OF: Basic accounting practices and procedures. Financial and statistical record-keeping techniques. Preparation, review and control of assigned accounts. Operation of standard office machines including computer equipment. Correct English usage, grammar, spelling, punctuation and vocabulary. Interpersonal skills using tact, patience and courtesy. Applicable sections of the State Education code and other applicable laws. ABILITY TO: Prepare financial statements, profit and loss statements and other technical financial reporting documents. Process and record accounting transactions accurately. Understand and effectively utilize computerized accounting systems. Work with limited supervision. Verify, balance and adjust accounts. Work independently. Operate calculator and computer equipment proficiently. Communicate effectively both orally and in writing. Learn, apply and explain policies, procedures, rules and regulations. Train and provide work direction to others. Computer skills. Establish and maintain positive working relationships with students, staff, and parents. EDUCATION AND EXPERIENCE: Any combination equivalent to: two years college-level course work in accounting and office practices and experience in responsible financial or statistical record-keeping, including extensive public contact. LICENSES AND OTHER REQUIREMENTS: Positions in this class may require possession of a valid California driver’s license. WORKING CONDITIONS: School office environment; subject to constant interruptions and noise.
