Job Summary
Provide support to local school districts and the county office of education Education Services, SELPA, and Adult and Alternative Education departments in coordinating programs, professional development and other related events. This position may require travel for training and annual meetings.
Requirements / Qualifications
Three years of increasingly responsible, broad and varied experience in an office secretarial/clerical position requiring independent judgement and personnel skills required. -At least one letter of reference -Resume
Criminal Records clearance and successful results on a pre-employment medical exam prior to start date.

Job Details for Department Specialist:
CALPADS:
-Processes and analyzes compliance and service data from a variety of sources (e.g., CALPADS, SEIS, Aeries, etc.) for the purpose of reporting to the state and supporting and assisting districts in monitoring compliance with state and federal laws
-Completes necessary CALPADS certifications at the required certification deadlines
-Provides technical support and training to LEA staff and personnel on the operation and maintenance of CALPADS data and data corrections, other electronic state and federal reporting systems, and in understanding and using computerized and integrated business systems and manuals
-Monitors CDE and other sources for changing and emerging technical and data requirements related to CALPADS and other assigned data reporting systems, and revises policies and procedures accordingly to maintain compliance
-Receives updates and notifications from CDE, reviews information, and distributes relevant information to LEAs (i.e. CALPADS flashes)
-Provides various data reports for LEAs and ICOE, as requested
Workability:
-Administers all aspects of Workability 1 Program, including budget preparation and completion of required grant proposals, reports and documents.
-Initiates and maintains ongoing personnel contacts with a variety of business and industry representatives and job placement/training agencies to promote Workability programs for student placement.
-Generate introductory calls to potential employers to locate jobs for applicants.
-Matches job skills with applications, qualifications, and to connect applicants with employers.
-Conducts bi-weekly (or as needed) student evaluations after students are placed in positions.
-Attend meetings and maintain contacts with various provisional and community organizations that are involved in job placement/training activities to keep current with trends in a local job market.
-Recruits Workability students and assists in assessing their job skills and interest for positions.
-Advise students in job seeking, interview preparation, job retention skills, and attitudes.
Help present class presentations on job preparedness and skills.
-Monitors student performance on the job, counseling student when job performance is not satisfactory.
-Endeavor to work with students to obtain necessary job skills and/or review other employment options.
-Maintains contact with employers during the students’ employment and report results.
-Prepare all forms and reports related to placement activities.
-Updates Workability website and process grant information
-Working with Workability Director, establishes an annual budget
-Completes the annual Workability grant budget and expenditure reports
Business Clerk duties:
-Act as secretary and receptionist as assigned
-Answer telephone calls, screen and interview callers, take messages, and calls
-Assist the public by responding to inquiries and referring them to appropriate sources of information or contacts
-Compose and/or type a variety of correspondence, reports, and other finished copy from oral instructions, brief notes, rough drafts, or information from sources within or outside the department
-Assume charge of and be responsible for an assigned program or project
-Monitor and prepare purchase requisitions, budget revisions and journal entry requests, as necessary
-Assist in program budget development and monitoring
-Attend and assist in meetings, workshops and conferences as required
-Prepare and coordinate necessary materials for department events and projects
-Act independently of supervisor to make decisions, respond to inquiries, organize activities, and resolve problems with agencies, parents and staff
-Develop and/or type program flyers, publications, brochures, packets, newsletters and handbooks for programs, activities, and staff development
-Make appointments and travel arrangements for staff
-Maintain confidentiality of student and other confidential records
