This position reports directly to the Principal. The position receives support from the Chief Operations Officer and attends weekly admin team meetings at the Central Office. Key Areas of Responsibility Team Management Manages and trains front office staff (including Data Manager, Office Clerk, etc.) Assigns tasks as needed to office team to ensure smooth school operations Substitutes as needed for any member of office team Provides orientation and training for clerical personnel, including those assigned to offices supervised by certificated staff. Advises school administrators on office procedures, layout, equipment, and staffing, and on policies and procedures related to the clerical staff. Supervises clerical work related to such matters as enrollment, attendance, curriculum, personnel, organization, budgeting, accidents, student grades, special programs, time reporting, and requisitions and purchase orders for supplies and equipment. Front Office Management Ensures front office creates warm and welcome environment for the public Ensures front office is clean, organized, and has all necessary materials/equipment and required notices Organizes and maintains files, records, guides, and rule books. Plans, establishes, and supervises the implementation of clerical procedures in a school office to insure timely preparation and submission of reports, records, studies, letters, and other materials. Performs secretarial duties for a principal by arranging appointments, maintaining an appointment calendar, receiving visitors, screening telephone calls and mail, and composing communications from general instructions or rough notes. Requirements 3 - 5+ years of operations and/or office management experience, preferably in a school environment or professional services environment Strong project management skills - demonstrated ability to run multiple projects and priorities within agreed timelines and budgets Available to lead projects as the school demands. Demonstrated entrepreneurial skill-set Strong attention to detail, organizational planning, time management, and multi-tasking abilities Strong people and project management, organizational, logistical, and research skills are required An active, hands-on approach to problem solving is also essential
