REGISTRAR BASIC FUNCTION: Under the direction of an assigned supervisor, perform a variety of technical and statistical record-keeping duties in the preparation, updating and maintenance of scholastic records and schedules for high school or adult school students; process, evaluate and obtain and respond to requests for student records and transcripts; input student data into an assigned computer system and maintain automated records. REPRESENTATIVE DUTIES: ESSENTIAL DUTIES: Perform a variety of technical and statistical record-keeping duties in the preparation, updating and maintenance of scholastic records for high school or adult school students; compile, assemble and verify a variety of student information including grades, test results and credits. Register new students; request, receive and review records and transcripts for new students from previous schools; evaluate transcripts to determine allowable credits and appropriate student placement; verify courses, grades and credits; assure transcripts are current and accurate. Establish and maintain cumulative student records and files; prepare and maintain a variety of records and reports and update files with data and information related to students, transcripts, schedules, classes, graduation, registration, enrollment, courses, grades, transfers, tests, withdrawals, health, contacts, attendance and assigned activities. Input and update student, scheduling and other information in an assigned computer system; update enrollment status as needed and withdraw students who are leaving according to established procedures; establish and maintain automated records and files; generate and distribute computerized reports, forms and documents related to student information; assure accuracy of input and output data. Compose and distribute a variety of correspondence including letters, lists, requests and forms related to student information, records, courses and schedules; generate, prepare and distribute student transcripts to schools, colleges, students, personnel, employers and others as requested. Assist in the maintenance of the master schedule as directed; compile, assemble and verify a variety of student and related scheduling and course information and data; prepare, develop and modify student schedules according to established standards and procedures. Process, review and verify the accuracy and completeness of various forms and documents; duplicate, distribute and collect forms and materials; prepare, process and disseminate student progress reports and report cards; process CAL Grant and GPA verifications as required. Coordinate registration with other schools as needed; process student withdrawals and inter-district transfers as needed; verify student residency and update boundaries as needed. Communicate with students, personnel, administrators and outside agencies to exchange information and resolve issues or concerns. Operate a variety of office equipment including a copier, fax machine, computer and assigned software. Monitor student graduation status; research and provide student information as needed; review and assess student records to identify graduation deficiencies and eligibilities; generate class ranking lists. Monitor inventory levels of forms and other office supplies; order, receive and maintain adequate inventory levels of supplies as directed. Participate in a variety of other assigned activities such as compiling course catalogs, attending meetings, collecting fees and generating class rosters and labels. OTHER DUTIES: Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Transcript evaluation and student enrollment procedures and requirements. ABILITY TO: Perform a variety of technical and statistical record-keeping duties in the preparation, updating and maintenance of scholastic records and schedules for high school or adult school students. Compile, assemble and verify a variety of student, scheduling and course information and data. Establish and maintain manual and automated records and files. Compile and verify data and prepare reports. Obtain and respond to requests for student records and transcripts. Organize and evaluate data pertaining to student course work, grades and enrollment. Work independently with little direction. Complete work with many interruptions. Type or input data at an acceptable rate of speed. Meet schedules and time lines. Operate standard office equipment including a computer and assigned software. Communicate effectively both orally and in writing. Establish and maintain cooperative and effective working relationships with others. EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from high school and three years clerical or secretarial experience including work with student records and enrollment functions. Lifting and moving offices supplies and boxes. **The Education Code requires that a criminal background check be conducted on all persons prior to employment by a school district to ascertain whether the applicant has been arrested or convicted of any crime. Conviction of certain crimes designated as a “violent felony” or a “serious felony” may disqualify a person from employment.
